Position Overview

Ecojoule Energy is seeking a dynamic, hands-on financial leader to manage our operational finance functions while providing essential support to the Finance Director. This role is ideal for someone who excels in a fast-paced environment, balancing detailed day-to-day financial management with key project and HR support initiatives. You will oversee month-end reporting, reconciliations, budgeting, grant documentation, payroll review, KPI monitoring, and more—ensuring our financial and operational processes are robust and aligned with company goals.

Key Responsibilities

Financial Reporting & Month-End Processes:

  • Prepare comprehensive monthly financial reports and manage month-end closing processes, including detailed cash flow planning.

Reconciliations & Audit Preparations:

  • Perform monthly reconciliations across key accounts (stock, DRS, CRS, BAS, etc.).
  • Prepare and compile detailed year-end stock reconciliation workpapers.
  • Assemble and maintain audit documentation, liaising with external auditors as required.

Budgeting & Financial Documentation:

  • Draft initial budgets and provide supporting analyses for review.
  • Develop and prepare finance sections for grants, tenders, and associated documentation.
  • Compile and draft grant reports along with requisite working documents and calculations.

Compliance & Regulatory Duties:

  • Prepare ASIC-related documents ensuring timely and accurate submissions.
  • Calculate payroll tax and WorkCover obligations accurately.

Payroll & Timesheet Oversight:

  • Review payroll details prepared by junior staff before processing.
  • Oversee timesheet data entries to ensure accuracy—critical for year-end tax finalization and applications for the R&D Tax Incentive.

Order, Inventory & Asset Management:

  • Oversee order processing using systems (e.g., Unleashed) to ensure efficient inventory and order control.
  • Manage the Asset Register, ensuring accurate recording, tracking, and depreciation of company assets.

KPI Monitoring & Reporting:

  • Track and report on key performance indicators (KPIs) related to financial performance, operational efficiency, and project outcomes.
  • Provide regular updates and actionable insights to the Finance Director and senior management.

Project Management Support:

  • Assist in project management tasks for systems setups and rollouts, ensuring deadlines and deliverables are met.

HR, Policy & Safety Support:

  • Coordinate staff training sessions and ensure training programs are scheduled and delivered effectively.
  • Provide operational feedback on Modern Slavery policies as required.
  • Assist in maintaining and updating Company Policies—including Environmental and Cyber Security policies—in collaboration with the Finance Director.
  • Monitor the ASSA (safety) system to ensure workplace safety standards are met.

Logistics & Office Management:

  • Manage day-to-day logistics and oversee office administrative functions to support overall business operations.

Required Qualifications

  • Bachelor’s degree in Finance, Accounting, or a related field (CPA, CFA, or equivalent preferred).
  • A CMA (Certified Management Accountant) qualification is highly regarded.
  • Proven experience in both accounting operations and financial planning/analysis roles.
  • Strong analytical skills with proficiency in financial software and advanced Excel.
  • Excellent communication, leadership, and project management skills.
  • Ability to mentor junior staff and thrive in a dynamic, evolving environment.
