We’re looking for an Operations Assistant Coordinator to support our growing earthmoving hire business in Caringbah.
This role offers a 50/50 split between office administration and equipment logistics, making it ideal for someone who enjoys variety and a hands-on approach to their work. You’ll help keep our operations running smoothly while delivering top-tier service to our clients. In this role, you’ll process hire bookings, manage invoices, and handle customer communications, while also managing stock, operating a forklift, and making LR vehicle deliveries as needed.
What You’ll Bring to the Table:
✅ A proactive, "can-do" attitude with strong problem-solving skills.
✅ Forklift Licence & LR Licence – Comfortable operating machinery and making deliveries. (BONUS)
✅ Strong organizational and multitasking skills, balancing admin and logistics.
✅ Excellent attention to detail, especially for order processing and inventory management.
✅ Experience in administration – invoicing, spreadsheets, and office coordination.
✅ Reliable, punctual, and adaptable to shifting priorities.
✅Great Customer Service & Communication skills
Your Key Responsibilities:
🖥 Administration & Office Support:
- Sales Order Processing – Accurately enter and manage customer hire orders.
- Invoicing & Accounts Support – Process invoices
- Document Management – Draft, edit, and organize reports, emails, and records.
- Customer Service – Handle incoming calls professionally and assist with client inquiries.
- Office Coordination – Maintain an organized office with up-to-date records and supplies.
- Data Entry & Reporting – Keep stock, delivery, and hire spreadsheets updated.
🚚 Warehouse & Logistics Operations:
- Receiving & Stock Scanning – Check incoming equipment, verify quantities, and allocate inventory.
- Forklift & Stock Handling – Safely operate a forklift to load/unload machinery.
- Deliveries/Pickup Scheduling – Liase with transport drivers to ensure efficient fleet movement.
- Stock Control – Maintain inventory accuracy and efficient warehouse operations.
- Warehouse Support – Assist with loading/unloading equipment and keeping stock well-organized.
What You Need to Succeed:
- Forklift Licence & Car Licence – This role requires both office and warehouse responsibilities.
- Strong administration skills
- Previous experience in a similar role - (earthmoving, construction, transport or logistics)
- Excellent communication skills for liaising with customers and suppliers.
- Ability to work independently and manage both admin tasks and operational duties.
- A flexible, adaptable, and solutions-driven mindset.
