About the role
As the Office Manager at Aakrith Education Consultants Pty Ltd, you will be responsible for overseeing the smooth and efficient day-to-day operations of our Brisbane office. In this full-time role, you will play a crucial part in ensuring our administrative functions run seamlessly, allowing our team to focus on delivering exceptional service to our clients.
What you'll be doing
- Establish and maintain clear service standards for client inquiries and application process timelines in line with the code of conduct.
- Ensure all migration processes and student enrolments adhere to legal and regulatory requirements.
- Monitor client feedback and update service standards as needed.
- Assign staff for migration applications, consultations, and student enrolments, ensuring efficient workload management.
- Supervise staff to ensure timely submission of student course enrolments and migration applications.
- Set priorities to address urgent migration applications and enrolments promptly.
- Review applications and enrolment forms for accuracy.
- Manage meeting room schedules and ensure necessary resources are available for client consultations.
- Maintain up-to-date records of client progress, application status, and communication history using CRM (Agentcis).
- Ensure documentation and filing of migration applications and education enrolments using SharePoint.
- Track and follow up on client payments, ensuring accurate records.
- Liaise with migration agents for updates on client applications.
- Work with IT service providers to resolve CRM and cloud system issues.
- Manage office supplies and ensure the availability of stationery and promotional materials.
- Coordinate with educational providers for client inquiries and promotional activities.
- Collaborate with the Director to implement new business strategies and resolve operational issues.
- Assist in staff recruitment, hiring processes, payroll management, and invoice payments for sales contractors and stakeholders.
- Keep staff updated on government legislation related to student recruitment practices.
- Monitor staff performance, provide feedback, and conduct training sessions on new job tasks.
- Ensure compliance with Fair Work legislation, privacy laws, and workplace health and safety (WHS) regulations.
What we're looking for
- Minimum 3-5 years of experience in an office management or administrative leadership role
- Strong organisational and problem-solving skills, with the ability to multitask and prioritise effectively
- Excellent communication and interpersonal skills, with a customer-focused approach
- Proficient in using office software, including Microsoft Office suite and CRM tool (Agentcis)
- Demonstrated ability to work independently and as part of a team
- A keen eye for detail and a commitment to maintaining high standards of work
- Prior experience in the education consultancy or migration industry is preferred, but not essential
