About Us

Duchess Medical Practice operates practices at two sites: one in central Busselton and another in the growing suburb of Vasse. Our clinics offer comprehensive General Practice services, and we are committed to providing the highest standard of care to our patients.

Role Overview

As the Practice Manager, you will report to the Associates of the practice and be supported by an Administrative Support Co-ordinator (2IC) along with outsourced IT and Bookkeeping services. Your primary responsibility is to ensure the efficient and effective daily operations of our clinics, providing quality service to both our team and patients.

Skills and Knowledge
• Minimum 5 years demonstrated medical management experience, preferably in a General Practice.
• Experience using Best Practice software.
• Proven success in leading and engaging a multidisciplinary team.
• A positive and professional attitude with a desire to make a difference in the lives of our patients.
• Ability to manage day-to-day operations, demonstrating adaptability and multitasking skills.
• Excellent interpersonal communication and customer service skills.
• Accreditation experience is desirable.

Key Responsibilities
• Supervise doctors, nurses, and administrative staff across Busselton and Vasse GP clinic sites, entailing total of 14 GP consult rooms, and nurse treatment areas at both sites.
• Manage GP diaries, leave, extra sessions, rosters (on-call and Saturday) and leave coverage.
• Oversee phone systems and updates, website management, social media platforms and appointment booking platforms such as Hot Doc.
• Oversee systems access, Best Practice configuration, and process improvements/projects.
• Provide leadership to practice staff, maintain human resources systems, coordinate recruitment and staff development.
• Manage payroll, employee contracts and compliance.
• Oversee financial operations including financial analysis, management reporting, and grant/health program management.
• Advise bookkeepers on payments for SIP, PIP, WIP, GPTP, and medical students.
• Manage leases, subleases, and company insurance.
• Ensure compliance with government legislation, regulations, contractual obligations, and relevant Awards.
• Develop, maintain, and annually update appropriate business practices and procedures.
• Plan and manage practice meetings, including regular and special meetings.
• Manage vendor relationships, including purchasing, reviewing, and approving invoices.
• Develop and implement strategies to achieve the practice's vision and goals.
• Provide solution-focused management of clinic operations and resolve practice queries.
