Position Summary:
The Office Administrator plays a crucial role in maintaining the smooth operation of our office. This position involves creating purchase orders (POs), managing logistics, and overseeing office supplies. The successful candidate will have excellent organisational skills, the ability to multitask, and a keen attention to detail.
Key Responsibilities:
- Purchase Order Management: Create, monitor, and manage purchase orders, ensuring all orders are processed in a timely manner and accurately recorded.
- Logistics Coordination: Coordinate logistics for the delivery and distribution of office products and equipment, liaising with suppliers and vendors as needed.
- Office Supplies Management: Monitor and maintain inventory levels of office supplies and materials, ordering as necessary to ensure an uninterrupted supply.
- Communication: Serve as a point of contact for external vendors and internal staff regarding office supplies and logistics, resolving queries and issues efficiently.
- Record Keeping: Maintain accurate records relating to purchase orders, deliveries, and office supply usage.
- Administrative Support: Provide general administrative support to the office as needed, including filing, data entry, and document management.
- Other duties as assigned.
Knowledge, Skills, and Abilities:
- Proven experience in an administrative role, preferably with a focus on purchasing or logistics.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficient in order placement and fulfillment.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving aptitude.
Qualifications:
- A minimum of a Senior Secondary Certificate of Education (SSCE) or equivalent; additional qualifications in administration or a related field are advantageous.
