About the Role:

Reporting to the Branch Manager, you will be responsible for a range of administrative tasks that ensure the smooth operation of our projects and office functions. From job setup and invoicing to liaising with clients and coordinating HR documentation, this is a varied role that requires efficiency, accuracy, and excellent communication skills.

Key Responsibilities:

  • Input and manage time sheets, job sheets, and costs using Xero and Simpro
  • Payroll, Accounts Payable and Receivable in Xero (including Invoicing and Purchase Orders)
  • Set up and maintain project files from initiation to archive
  • Prepare monthly reports for shareholders
  • Order materials, consumables, and workshop items
  • Conduct monthly stocktakes
  • Liaise with clients and sub-contractors as needed
  • Manage H&S, QA, and ISO documentation for projects
  • Book staff training, medicals & drug testing
  • Coordinate staff onboarding and HR documentation for new employees
  • Co-ordinate vehicle maintenance and repairs
  • Arrange travel and accommodation for offsite work
  • Maintain tool management system
  • Organise uniforms and clothing for staff
  • Handle vehicle accident claims with insurance
  • Maintain staff training registers and project references
  • Update company manuals with procedures and tasks

About You:

To be successful in this role, you will have:

  • Previous experience in office administration
  • Strong written and verbal communication skills
  • A professional and friendly telephone manner
  • Excellent attention to detail and organisational skills
  • Experience using Microsoft Office Suite
  • Experience with Xero accounts payable, receivable, and payroll
  • Experience with Simpro is desired but not essential
  • A current Australian driver's license
