The Administrative Assistant & Receptionist is responsible for delivering high-quality administrative support and reception services for the Australian Trade College North Brisbane (ATCNB), as well as the IntoWork and MRAEL business units based at the Scarborough campus. As the first point of contact for students, parents, staff, and visitors, this role ensures the efficient operation of office activities while providing professional, welcoming, and responsive service.
Australian Trade College North Brisbane is an independent co-educational senior school offering Year 11 and 12 students the opportunity to complete their senior schooling while pursuing hands-on learning towards a trade career. All students complete Maths, English and a Certificate III Business. Trade studies and industry placements are integrated into our learning schedule.
Students also study a range of Certificate II, III and Diploma level courses in their desired trade at our onsite state of the art workshops and training facilities. Our students are very well regarded within local industry and have an above average 85% employment success rate. What you need to succeed
To thrive in this role, you will be someone who enjoys taking the initiative to provide excellent service and support across a broad range of activities each day.
You will demonstrate:
- Proven experience in an administrative assistant or receptionist role, preferably in an education, training, or corporate environment.
- Exceptional customer service skills, with the ability to provide a professional, welcoming, and responsive first point of contact for students, parents, staff, and visitors.
- Strong organisational and time management skills, with the ability to multitask, prioritise workload, and meet deadlines in a fast-paced environment.
- High-level written and verbal communication skills, with the ability to engage effectively with a diverse range of stakeholders.
- Proficiency in Microsoft Office Suite (particularly Outlook, Excel, and Word), with the ability to produce high-quality documents and correspondence.
- The ability to monitor and follow up on class roll marking, ensuring accurate and timely completion in line with school procedures.
- Experience in managing student absences, including sending daily SMS notifications to parents.
- Strong attention to detail and accuracy in data entry, record-keeping, and reporting.
- The ability to maintain confidentiality and discretion, particularly when handling sensitive information.
- A proactive and solutions-focused approach, demonstrating initiative and the ability to anticipate administrative needs.
- Experience in coordinating office supplies, mail distribution, and minor office upkeep to ensure a well-organised work environment.
- Ability to assist with the planning and execution of school events, including assemblies, information evenings, and campus tours.
- A commitment to continuous improvement, with a willingness to learn new systems and processes, including student management software (e.g., TASS, Compass, OneSchool or similar)
- A current First Aid qualification (or willingness to obtain) to provide first aid support
- The ability to work collaboratively within a small team, while also demonstrating self-motivation and independence in completing tasks.
