At Gippsland Civil we are a locally owned business, and we are looking for a key team member to join us. We are a Civil Construction and Excavation company based in Traralgon.
We currently seeking a Part-Time Administration Officer / Bookkeeper. This position is a varied role and would suit someone who works well unassisted and under pressure. You will report and work directly with the two Directors and will be required to undertake the general administration of the business to ensure that the operational, management and other key functions of the business can operate effectively and efficiently. This position is for 3-days per week, offering flexibility for the successful applicant to set the days of the week, with the exception of Thursday for processing of the weekly payroll.
You will be directly responsible for:
- Accounts Payable and Accounts receivable
- Completing Weekly payroll end-to-end
- Reconciling bank accounts and credit cards
- Invoicing
- Processing of Monthly Superannuation & Payroll Tax
- Processing of Quarterly Coinvest
- Managing Workcover Policy as well as Return to Work Coordinator tasks and responsibilities
- Lodging BAS [Quarterly] & PAYG Statements [Monthly]
- Manage employee licence, compliance and inductions
- Ordering of office supplies and PPE
- Management of all Insurance, Fuel & Toll accounts
- Assist with Tender lodgements when required
- Manage Job scheduling board in office as new callups are received
- Organising staff meetings and taking minutes
- Maintaining the workflow to the highest of standards
- Delivering exceptional customer service to our clients
- Management of CCF Accreditation Audits liaising with Auditor to ensure compliance
- Conducting regular site inspections to ensure and document compliance required to be included in Audit process.
- Implement and maintain Policies & Procedures as per CCF IMS
- Daily review of “Daily Pre-Starts” for all Truck/Plant and forward any faults/defects reported to our Mechanical Subcontractors for rectification/repair
- Liaise with Traffic Control Designer and assist in preparation of TMP, and lodge MOA's with Local Council or RAPP.
- Maintain clean and tidy office space

- Able to work individually demonstrating initiative, but also willing and capable to work as part of a team
- Confident communicator and ability to effectively liaise with team members and clients
- Excellent problem-solving skills with a common-sense approach
- Bookkeeping experience or background with min. exp 2 years in accounting program Xero
- Competent in using Microsoft Office programs i.e. Excel, Word and Outlook
- Knowledge and experience using GoFormz App advantages
- Previous experience in a service or trade-based company may be advantages
