As we continue to grow, we are seeking a skilled and motivated Bookkeeper to join our dedicated team.

Position Overview
The Bookkeeper will be responsible for maintaining and managing the financial records of the company, ensuring accurate and timely processing of transactions, payroll, and other financial activities. The role requires a detail-oriented, organised, and analytical individual who can manage multiple financial tasks while ensuring compliance with all financial regulations and standards.

The ideal candidate should have strong experience in accounting software (preferably Xero), attention to detail, excellent communication skills, and a deep understanding of financial transactions, reports, and data analysis.

Key Responsibilities

1. Financial Record Keeping

  • Accurately record all financial transactions (sales, purchases, payments, etc.) in the company’s accounting system.
  • Maintain up-to-date and accurate ledgers for accounts receivable, accounts payable, general ledger, and payroll.
  • Process and reconcile all bank and credit card statements, ensuring that records align with the company’s financial statements.
  • Prepare, review, and ensure the accuracy of financial documents such as invoices, purchase orders, and expense reports.

2. Accounts Payable & Receivable

  • Oversee the accounts payable process, ensuring all bills, invoices, and vendor payments are processed in a timely manner.
  • Monitor accounts receivable to ensure timely collection of outstanding payments, follow up on overdue accounts, and prepare aging reports.
  • Assist with managing cash flow and maintaining a balance between payables and receivables.

3. Payroll Processing

  • Prepare and process payroll for all employees, ensuring timely and accurate calculations of wages, overtime, bonuses, and deductions.
  • Ensure all necessary tax deductions and benefits are correctly applied.
  • Prepare payroll-related reports, including tax filings and superannuation contributions.
  • Handle employee-related payroll inquiries regarding pay and deductions.

4. Financial Reporting and Reconciliation

  • Prepare monthly, quarterly, and annual financial reports to present to management, such as income statements, balance sheets, and cash flow statements.
  • Reconcile financial discrepancies by collecting and analysing account information.
  • Assist with year-end closing processes, preparing financial statements for audit, and ensuring the organization’s compliance with accounting principles and financial regulations.

5. Tax Preparation & Compliance

  • Ensure that the company complies with all local, state, and federal tax laws by preparing and filing the required tax returns.
  • Maintain accurate tax records and documentation, assisting with tax audits and preparing data for tax consultants when necessary.
  • Stay up to date with tax changes and adjustments to ensure the company remains compliant.

6. Budgeting & Forecasting Support

  • Collaborate with management to assist with budget creation and monitoring.
  • Provide financial data and insights to aid in business forecasting and financial planning.
  • Track and report budget variances and recommend adjustments where necessary.

7. Financial Analysis & Advisory

  • Provide insights into the company’s financial health by analysing trends in financial data and providing recommendations for cost-saving measures.
  • Analyse financial data to highlight potential issues or areas for improvement in operations or cash flow.
  • Assist in strategic planning by providing financial insights to guide decision-making processes.

8. Systems and Tools Management

  • Maintain and update accounting software, ensuring it is functioning efficiently and is up to date with all necessary software updates and changes.
  • Suggest and implement process improvements related to accounting software or financial management tools.
  • Ensure data backup and security of financial records and systems.

Required Qualifications

Education & Experience:

  • Minimum of Certificate IV in Accounting and Bookkeeping (FNS40222)
  • Proven experience as a bookkeeper, accountant, or in a similar financial role, ideally with at least 2–3 years of experience.
  • Familiarity with accounting software (E.g., Xero, MYOB, Hubdoc)
  • Understanding of the use of stock management software (e.g., Cin7, Point of Rental, etc.)
  • In-depth knowledge of accounting principles, practices, standards, and laws.
  • Experience with payroll systems and tax preparation is highly desirable.

Skills:

  • Strong attention to detail and ability to maintain accurate records.
  • Proficient in Microsoft Office Suite, especially Excel and Outlook, and accounting software.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive financial information with discretion and confidentiality.
  • Strong organisational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Critical thinking and problem-solving skills, especially when addressing discrepancies or financial irregularities.

Reporting & Working Relationships

  • Reports to: Owners, Management and other related parties.
  • Works closely with: Finance Team, Payroll Department, Department Heads, External Auditors, and Tax Advisors.

Work Environment

  • Full-time, permanent position.
  • You will be required to work from the office for this position.
  • The role may require occasional overtime during busy financial periods, such as year-end closings or tax filing seasons.
