We are seeking a motivated, proactive and detail-oriented Full Time Service Administrator to join our dynamic team in our Cockburn Central office.
Complete Refrigeration & Air is a fast-growing company in the HVAC & Refrigeration industry, delivering high-quality services across Perth and Mandurah areas. With exciting new projects coming up, we are looking to expand our team by adding a proactive and reliable Service Administrator to assist the team with daily administration duties.
Job Description:
You will play an important role in assisting managers and fellow office staff in day-to-day operations, ensuring a smooth administrative process. Being the main point of contact, you will manage incoming calls, emails and inquiries from clients, providing exceptional customer service. Your role will ensure accurate data entry and client records are maintained and updated, including creating new jobs and updating of tasks through our computer system (training provided). You will be involved in parts sourcing from suppliers, follows ups and processing related to installations, repairs, and maintenance. As parts and units are received into our store, you will be responsible for the receipt and labelling the incoming items. You will contribute to improving internal processes and implementing efficient administrative systems.

πKey Responsibilities: π
- Serve as the primary point of contact incoming calls
- Accurately enter and manage data, tracking service requests and follow ups
- Provide high quality customer service which includes phone, some face to face and email communications
- Assist with the managing of our main email inbox for job queries, follow ups and escalation.
- Sourcing and ordering of parts
- General administrative support
- Provide clear communication and updates to clients, site contacts, subcontractors, management and internal teams.
- Collaborate with field technicians to ensure timely and efficient completion of maintenance tasks with required information entered.
- Take ownership of your role, managing responsibilities with accountability and a proactive approach.
**π This administrator role is dynamic and as we grow further, establish new contracts and clients, there is the opportunity for this role to evolve quickly into a contract co-ordinator roleπ**
As a contract co-ordinator you will serve as the main point of contact for a specific client, ensuring timely completion of jobs, ordering of parts, coordinating visits, scheduling technicians and ensuring strict KPIs are met. You will be able to communicate effectively to ensure all parties are aligned. A large part of this role will involve managing workflow spreadsheets and schedules, liaising with field staff for notes and photos ensuring that KPIs are met. Some invoicing may be required. This position requires a proactive and responsible person who thrives in taking accountability for closing loops on their tasks. Strong organizational skills and the ability to handle multiple tasks at once are a must for this role.

- Previous experience in a busy administrative role, preferably within the HVAC, maintenance or facilities management sector (Minimum 2 years)
- Accurate data entry skills, with high attention to detail.
- Excellent time management skills, with the ability to prioritize tasks effectively.
- Exceptional communication skills, both written and verbal.
- A proactive, accountable and responsible approach to work, with a drive to exceed expectations.
- Ability to thrive in a fast-paced, growth-oriented environment.
- Strong organizational skills, efficient time management and the ability to meet strict KPIs.

- Great work ethic and proactivity is highly regarded alongside the ability to follow instructions and see tasks through to successful completion.
- Proficient in using Microsoft Office Suite, Outlook, and other relevant software (knowledge of Aroflo and client online or app portals are a bonus).
- Ability to work independently and as part of a team, multitasking and prioritizing tasks effectively.
