Seniors First is Australia’s leading Reverse Mortgage Broker. We are looking for an efficient and proactive Office Administrator to oversee the daily operations of our office while providing essential support to the CEO and the team.
The ideal candidate will be responsible for managing schedules, handling administrative tasks, facilitating internal and external communication, supporting staff coordination, and collaborating on key projects rolled out to the brokerage team. This role will be crucial in ensuring the office environment fosters collaboration, productivity, and smooth operations across the company, and the CEO’s other business interests.
Key Responsibilities:
- Calendar Management: Oversee the daily management of the CEO’s calendar, scheduling meetings, appointments, and ensuring time is allocated effectively. Maintain and manage the office calendar for team events, important deadlines, and key meetings across both the digital marketing agency and the reverse mortgage brokerage.
- Administrative Support: Provide direct administrative support to the CEO and teams from both the digital marketing agency and the reverse mortgage brokerage, including handling correspondence, document management, and coordinating communication between departments.
- Reporting & Invoicing: Prepare and manage regular reports, track key performance metrics, and handle invoicing and other financial administration tasks for both the digital marketing agency and the reverse mortgage brokerage.
- Staff Coordination: Assist in the onboarding process for new employees, ensuring a smooth transition into the company. Coordinate team events, meetings, and activities that promote collaboration and maintain a positive office culture across both businesses.
- Office Operations: Ensure the office environment remains organized and conducive to productivity by supporting team needs, managing office supplies, and maintaining the overall office atmosphere.
- Team Collaboration: Act as a liaison between departments in both the digital marketing agency and the reverse mortgage brokerage, ensuring smooth communication and effective collaboration across the organizations.
- Project Rollout Support: Collaborate with the CEO and management teams to roll out projects for the brokerage team, including project coordination, scheduling, and ensuring that resources are in place for successful implementation. Track progress and provide regular updates to ensure projects stay on track.
Qualifications:
- Proven experience in office management or administrative roles.
- Strong organizational skills with keen attention to detail and the ability to multitask effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
- Basic technical knowledge and experience troubleshooting office tech issues, including hardware and software.
- Excellent communication and interpersonal skills, with the ability to interact with staff at all levels.
- Experience in invoicing, reporting, and basic financial administration.
- Ability to manage multiple tasks simultaneously, prioritize effectively, and remain calm under pressure.
- Strong team-oriented mindset with the ability to work independently as needed.
