The opportunity
We are seeking a highly organised and detail-oriented Production and Events Coordinator to play a key role in the planning, coordination, and delivery of outstanding performing arts productions. This is an exciting opportunity for someone who thrives in fast-paced event environments and enjoys working collaboratively to bring performances to life.
As Production and Events Coordinator, you will be responsible for ensuring the smooth delivery of performances and events across the College’s Performing Arts program. Working closely with the Head of Theatre Arts and Head of Music, you’ll coordinate production logistics, liaise with external contractors, and ensure events run seamlessly from rehearsal to final curtain call.
This is a 37.5hr/week role, 40 weeks per year during term time and requires flexibility as to when these hours are worked. While most work (about 70%) will be undertaken during standard business hours (between 9-5pm), the nature of rehearsals and performances means that some out of hours work (about 30% of total work hours) will be required.
This may see the incumbent working some weeknights until about 9pm predominantly between April to November when the College’s production schedule is at its peak, with a smaller proportion of work hours undertaken on weekends predominantly in May, July and August in support of the College Musical and Year 12 Play.
Key responsibilities include:
- Production Logistics: Work with external contractors, suppliers, and venues to secure equipment, staging, lighting, and sound services, including operation of equipment where required
- Event Coordination: Oversee scheduling, logistics, and production planning for performances and events, ensuring a professional and well-organised experience.
- Scheduling & Planning: Maintain and manage the Performing Arts calendar to ensure smooth coordination of rehearsals, performances, and events
- Risk & Compliance: Conduct risk assessments, oversee OHS requirements, and ensure all productions meet safety regulations
- Technical & Crew Management: Hire and coordinate technical staff, stage crew, and technicians, ensuring all productions are properly resourced
- Administration & Budgeting: Assist in tracking production costs, managing supplier contracts, and maintaining inventory of performing arts equipment.
About you
To succeed in this role you will need:
- Experience in production or event management in a performing arts, theatre, or school environment
- Strong organisational and time management skills, with the ability to manage multiple events and deadlines
- Excellent communication skills, with the ability to build positive relationships with staff, students, suppliers, and contractors
- Strong technical knowledge of theatre production, staging, lighting, and AV equipment (or the ability to liaise effectively with specialists in these areas)
- A problem-solver who thrives under pressure and enjoys the fast-paced, dynamic nature of performing arts
- Knowledge of WHS principles and compliance requirements in a production setting.
- Flexibility to work outside standard business hours, including evenings and weekends as required by the College’s Production Schedule (particularly between April to November).
