Project Coordinator – Residential Renovations & Extensions

About the Role
As a Project Coordinator, you will play a vital role in ensuring the smooth operation of our residential projects. From scheduling and client communication to supporting project managers and optimizing workflows, your expertise will contribute to the success of our business.
What You’ll Need to Succeed
✅ Minimum 5 years of experience in residential renovations & extensions (commercial experience is a plus).
✅ Strong organizational, communication, and leadership skills.
✅ Ability to manage multiple projects and deadlines efficiently.
✅ Familiarity with permits, contracts, budgeting, and scheduling.
✅ Proficiency in project management software (Buildxact, Procore, Hazardco, Xero).
Key Responsibilities
Client & Project Coordination
Handle incoming calls and online inquiries professionally.
Schedule client consultations (on-site or in our showroom).
Prepare detailed proposals and contracts (including drafting and proofreading Master Builder contracts).
Maintain a high level of customer service throughout the consultation process.
Project Management & Operations Support
Schedule and oversee projects, ensuring timelines and budgets are met.
Assist and coordinate with project managers and supervisors.
Support permit applications, council inquiries, and compliance checks.
Improve operational systems and best practices aligned with Australian standards.
Optimize workflows to increase efficiency, productivity, and profitability.
Oversee resource allocation, budgeting, and procurement.
Maintain strong relationships with clients, subcontractors, and suppliers.
Present, promote, and sell products/services using strong sales techniques.
Assist with marketing & social media handling
Daily Responsibilities:
Monitor and respond to client communications.
Support Project Management, Sales & Operations teams.
Coordinate and book new trades.
Assist with invoicing, estimations, and networking.
