We are seeking a highly experienced practice manager required for a busy multi-specialist practice at the Queensland Pelvic Floor Centre at Auchenflower. This is a full-time position that we are looking to fill with the potential of an immediate start.
The role would be overseeing the day-to-day running of the practice and managing/supporting the staff. The practice comprises of 13 specialists including surgeons, physiotherapists and a practice nurse. There are currently 2 full time receptionists with 2 other receptionists in a job-share position.
Salary $50-$60/hr plus super, depending on experience. Car parking included.
The Practice Manager will work collaboratively with the administration team and report to the Directors.
Practice Manager Role
STAFF
- Encourage employee motivation, training and professional development and ensuring staff are satisfied in their roles, and addressing any concerns
- Coordinate staff employment and rosters, including annual leave cover.
- Co-ordinate payroll and liaise with the practice bookkeeper
- Co-ordinate and chair monthly meetings with Director
- Recruiting of new staff as required
PRACTICE
- Be familiar with Gentu practice software.
- Maintain a range of practice policies and procedures
- Be part of and contribute to a friendly and professional team environment
- Oversee that the practice and the rooms are clean, tidy and accessible
- Monitor the day-to-day practice operations and filter clinical queries from patients and reception staff
- Ensure consumables and equipment are kept stocked and maintained
- Ensure practice clinical standards are maintained including patient confidentiality
- Ensure IT systems are maintained
- Develop relationships with GP/specialist practices
- Manage consulting calendars and operating lists for each specialist
FINANCIAL
- Audit financial records and provide monthly reconciliation reports
- Use your working knowledge of Medicare, DVA and private health funds for to check invoicing and informed financial consent forms
- Accept responsibility for rejected claims
Receptionist Role (Supporting)
You will need to be able to assist reception staff by :
- managing reception and practice phone as first point of contact with patients, referring doctors and hospital staff
- working knowledge of Gentu practice software
- managing the daily schedule, booking of appointments and procedure admissions, and liaising with theatre booking staff and anaesthetists
- liaising with specialist regularly to resolve clinical and admin queries
- managing consulting clinics, invoicing, preparation of fee estimates, scanning documents and email enquiries
- accurate letter typing
To be successful in this position, you will have the following attributes:-
- Previous experience as a Practice Manager working for multi-specialist clinics. This is imperative - we are only looking for candidates with experience in this role.
- Excellent time management and organisational skills to be able to co-ordinate all aspects of running a business
- A high level of communication and interpersonal skills to be able to interact with all levels of people
- Ability to quickly acquire new work processes in an expanding computerised environment
- A ‘can-do’ attitude to all tasks
- Ability to work independently and with minimal supervision
- Accurate and fast typing and high-level attention to detail
