Our client are a boutique studio in the CBD with 20 design and technical professionals and are seeking a highly organised and efficient Office Administrator to join our energetic and growing team in the Melbourne CBD office.
In this key role, you will provide comprehensive office administrative support to assist with the day-to-day running and growth of the Practice. This is a full-time role with opportunities for career development within the organisation.
ROLE:
1. Providing general administrative support, including data entry, filing, and document management
2. Managing and undertaking monthly internal and external reporting processes
3. Assisting with the company accounts including monthly invoicing
4. Assisting with the overall business development and practice management processes
5. Assisting with the preparation of reports and documentation in collaboration with the technical staff
6. Maintaining and updating office records and databases
7. Shared handling of all incoming phone calls and emails
IDEAL EXPERTISE:
1. Excellent administrative and organisational skills, with the ability to multitask and prioritise effectively
2. Strong communication and interpersonal skills, with the ability to liaise with a range of stakeholders
3. Attention to detail and a high level of accuracy in your work
4. Proficient in using Microsoft Office suite, including Word, Excel, Outlook with excellent typing skills (60+ WPM) and formatting skills
5. Experience in using Aconex and/or other similar project management platforms preferable
6. Experience in Xero and/or other similar finance platforms preferable
7. Previous experience in an administrative role with a consultancy or construction company within the built form industry preferable but not a prerequisite for the right candidate
8. Ability to work independently and as part of a team
9. A proactive, solutions-focused mindset with a positive disposition
