Our business is looking for a part-time Finance and Office Administrator to join our team for 15-20 hours per week. The successful candidate will work onsite at the office in Altona North. This is an exciting opportunity for an organised and motivated individual to support the growing practice and contribute to the smooth running of the office operations. The role

Reporting to the Office Manager, you will provide operational, administrative and accounting support to ensure the efficient operation of the business. Your responsibilities will include but not be limited to:

  • Accounts payable and accounts receivable
  • Supporting the Office Manager with payroll processing and maintaining accurate accounting records
  • Assist with payroll process and pay queries accurately.
  • Ensure timely resolution of pay-related queries.
  • Support reconciliation of payroll items (PAYG, superannuation, WorkCover, leave, Centrelink payments).
  • Perform daily banking entries, ensuring accurate transactions in the accounting system.
  • Manage and respond to account inbox queries.
  • Assist with preparation, analysis, and distribution of daily payroll reports.
  • Communicate with HR and operations teams to ensure smooth payroll operations.
  • Ensure payroll tasks are completed within deadlines.
  • Maintain clear and effective written and verbal communication in payroll matters.

Accounts:

  • Respond to internal and external accounts payable queries.
  • Assist with the end-to-end Accounts Payable process.
  • Support the Financial Accountant during annual audits and ASIC reporting.
  • Ensure timely completion of month-end processes.

To be considered for this role it is essential that you can demonstrate that you possess:

  • Demonstrable experience of processing payroll
  • Demonstrable experience with ERP system(s)
  • Knowledge and understanding of payroll, time and attendance and rostering systems along with Award and Enterprise Agreement interpretation.
  • An effective team player, with ability to adapt and change in a growing business environment and support others to achieve both individual and business targets.
  • Great attention to detail with an ability to manage time to ensure deadlines and competing priorities are met.
  • Strong computer skills in Microsoft Office suite (particularly Excel).
  • Demonstrated excellent written and verbal communication skills, ensuring clarity in all payroll-related correspondence and interactions.
