BST Australia Pty Ltd is a dynamic and growing security technology company, committed to delivering quality service to our clients. We are seeking a highly organised and motivated Office Administrator to join our team and support the day-to-day operations of our office.
Job Description:
As an Office Administrator, you will play a key role in ensuring the smooth and efficient functioning of our office. You will be responsible for a variety of administrative tasks, helping to streamline processes, support our technicians and management, and maintain a productive and organised office environment.
Key Responsibilities:
- Office Management: Oversee general office operations, ensuring a clean, well-organised, and efficient workspace.
- Administrative Support: Provide administrative support to management and staff, handling phone calls, and creating service and project jobs when required.
- Service job management: Receiving and recording service job requests (by phone, email and portals). Creating and allocating service jobs to technicians.
- Documentation & Filing: Maintain and organise files, records, and documents (mostly digital) to ensure easy retrieval and company policies. Ensuring jobs attended to by technicians have the necessary paperwork and documentation.
- Supply Management: Manage office supplies, ordering and restocking as necessary.
- Communication: Serve as the primary point of contact for visitors, clients and vendors.
- Accounts Payable & Receivable: Entering invoices, processing invoices out, processing progress claims on projects, retention management, debt collection and reconciling accounts and monthly statements from suppliers.
- Payroll: Collating timesheets and processing payroll through MYOB.
- Data Entry & Reporting: Assist with data entry, generating reports, and maintaining databases as needed.
- Deliveries & Shipments: Receiving deliveries and organising shipments to be sent.
Qualifications:
- Proven experience as an office administrator, or similar role.
- Strong organisational skills with the ability to prioritise tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Proficient in MS Office (Word, Excel, Outlook) and general office equipment (copiers, phones, etc.).
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Prior experience with simPRO or MYOB is a plus, but not necessary if you have previous experience with an accounting software.
