Position Overview

The Student Transport Coordinator is responsible for managing the administration and coordination of student transport to and from Ballarat Specialist School. This role ensures compliance with Department of Education (DE) policies and procedures while providing high-quality service to students, families, staff, and external stakeholders.

Key Responsibilities

Student Transport Administration

• Oversee and manage the safe transportation of students in accordance with DE policies and procedures.
• Ensure compliance with all relevant regulations and safety guidelines.

Bus Timetable and Staff Coordination

• Develop and manage a complex bus timetable.
• Coordinate a large number of staff and students to ensure smooth and efficient transport operations.

CASES21 Administration Software

• Utilise CASES21 Administration Software to manage student transport records and data.

Financial Management

• Use CASES21 Finance Software for processing payments to creditors related to student transport.

Student Conveyance Allowance System (SCAS)

• Administer and manage the Student Conveyance Allowance System (SCAS) for eligible students.

Customer Service

• Provide high-quality direct service and support to parents, carers, students, staff, and other external customers.
• Address transport-related inquiries and concerns efficiently.

Training and Professional Development

• Commit to undertaking any required training to stay updated on policies, procedures, and software systems relevant to the role.

1. Demonstrated ability to act with integrity and impartiality while maintaining confidentiality in all aspects of transport operations. Strong communication skills to effectively liaise with internal and external stakeholders.

2. Experience using CASES21, and Microsoft Office (Word, Excel, Outlook, Publisher). Proven ability to work within established policies and reporting frameworks to ensure compliance with DET policy and procedures.

3. Demonstrated ability to work independently, flexibly and constructively in a team, ensuring the continuous and efficient operation of the work environment and working creatively and proactively to enhance work systems, practices and relationships.

4. Demonstrated high-level written and oral communication skills and high-level interpersonal skills, with an ability to relate effectively and sensitively with teaching and support staff, students, parents, external providers and the wider school community.

5. High-level organisational skills with a demonstrated ability for effective time management, establishing priorities, procedures and guidelines relating to the work area.
