Our NSW Government client is hiring for a highly capable Works Coordination Officer to join their organisation. The successful candidate will perform administrative duties and work flow coordination services, centred around processing, allocating and monitoring the work of the asset maintenance department. This is a part-time role, working 2 days per week, in a fast-paced role.
Role Title: Works Coordination Officer
Contract Length: 03/03/2025 to 31/07/2025
Hourly Pay: $41 + Super per hour.
Location: Westmead (2145) onsite.
Role Requirements:
- Provide work coordination services to receive, process, assess, allocate and monitor all job requests through to completion in accordance with all relevant emergency procedures and the relevant reactive maintenance Service Level Agreement.
- Act as the conduit in relationship management for the department by ensuring systems and processes are effective in the flow of timely and accurate information to and between internal customers, maintenance personnel and contractors.
- Provide high quality pro-active customer service throughout all communications and works co-ordination with relevant tradesperson, supervisors, managers and customers at all stages of the job request process.
- Contribute to contractor management through monitoring and administration of contractor management systems including timely information provision and reporting.
- Contribute to the administration and development of best-practice document management and the administration of knowledge systems to improve the efficiency and work flows of the department.
- Support management with administrative services including accurate and timely systems processing of rosters, payroll information and recruitment documentation.
- Undertake timely and accurate financial system entries and processing for requisitions, P-card purchases and invoices.
- Generate and complete data processing, system report generation and clerical documentation for a range of business requirements.
Challenges:
- Identifying and communicating maintenance work priorities to both stakeholders / users and service providers in accordance to the level of urgency as per agreed response times.
- Problem solving under pressure and managing competing priorities to meet deadlines while maintaining excellence in customer service, and communications.
- Working in a highly interdependent team environment whilst maintaining excellence in communication both internal and external and ensuring accuracy while processing high volumes of data.
Required Knowledge and Experience:
- Demonstrated experience in coordination and administration of work flows in a high-volume asset maintenance department.
- High-level computer literacy including work flow management systems and administrative supports systems, including rostering, financial and other management systems.
- Demonstrated excellence in verbal and written communication within a customer service environment.
- Strong organisational skills with ability to meet deadlines while managing competing priorities.
- Ability to effectively problem solve under pressure while maintaining excellence in customer service and communication.
- Proven attention to accuracy in a high-volume data processing environment.
Candidates must be based in the Greater Sydney Area (and able to work in the office at Westmead full time) and must possess existing full working rights within Australia - no sponsorships are open for this position.
