The Administration and Bookings coordinator role is pivotal in ensuring the smooth and efficient operation of our bus services. This full-time position based in Clayton VIC, is responsible for entering daily client transfer requirements, assisting with monitoring for any adjustments to scheduled transfer booking times, driver or vehicle allocations and ensuring meeting the daily client transfer requirements.

What you will be doing:

  • Scheduling and entering daily client transfer requirements into internal fleet management systems.
  • Communicate professionally with clients and customers to ascertain transfer requirements and addressing issues and then escalating as necessary with management.
  • Serve as a liaison between customers and drivers to ensure timely service delivery.
  • Work with and assist with internal administrative and operational duties.

What we are looking for:

  • Prior experience in a similar bookings coordinator role, preferably within the transport industry.
  • Effective communication skills for liaising with customers, management, drivers and other staff.
  • Proficiency in relevant IT systems and ability to adapt and learn required Fleet Management Systems.
  • A proactive and adaptable approach to work with the ability to respond to changing priorities and problem solving.
  • Organisational and multitasking skills with the ability to work well under pressure.
