About the Role

As a vital member of our team, your responsibilities will include:

  • Answering telephone calls with professionalism and courtesy.
  • Responding promptly and efficiently to customer inquiries, both written and verbal.
  • Scheduling quote and job requests, prioritizing them based on urgency.
  • Accurately entering quote and job details to maintain a smooth workflow and prevent invoicing delays.
  • Coordinating with Maintenance Managers to address any day-to-day issues.
  • Ensuring all necessary job paperwork is completed and required equipment/materials are booked for the plumbing division.
  • Identifying opportunities to improve processes, streamline workflows, and enhance customer service.
  • Optimizing field service work by planning and allocating quotes and jobs in a logistically efficient manner.
  • Actively participating in problem-solving and finding solutions to scheduling challenges.
  • Managing daily communication with field resources, supervisors, and client stakeholders, providing responsive support.
  • Cultivating and maintaining strong client relationships, ensuring a positive customer experience and compliance with client guidelines.
  • Developing rapport with new and existing clients, tradespeople, and suppliers.
  • Leading efforts to implement efficient work practices, driving continuous improvement.
  • Handling email inquiries regarding job status, urgent requests, and escalations in a timely manner.

Skills and Experience

  • Experience with simPRO software is highly desirable.
  • At least 3 years’ experience in a fast-paced office environment.
  • Previous experience in a scheduling or operations team is a plus.
  • Exceptional communication skills, both written and verbal.
  • An unwavering attention to detail—essential for success in this role.
  • The ability to work under pressure, prioritize tasks, and manage competing demands.
  • Strong interpersonal skills, with a proven ability to build rapport with clients and colleagues.
