Key Responsibilities:
- Manage the company’s accounts email, making sure all emails are responded to and the inbox is cleared by the end of each day.
- In charge of accounts payable (AP) and accounts receivable (AR)
- Input all trade invoices into the company’s database to accurately track job profits for each project.
- Approve material receipts and correctly allocate them to the corresponding project/job.
- Raise client invoices on job completion.
- Create and maintain progress payment schedules for larger jobs.
- Prepare profit and loss (P&L) reports for weekly management meetings, including job profitability and cost breakdowns.
- Reconcile project job costs, ensuring each job is accurately tracked and reconciled with financial records.
- Process fortnightly payroll for full time employees, ensuring compliance with tax obligations and superannuation
- Prepare weekly batches and have them approved by directors/ project managers.
- Pay weekly batches and send out remittances.
- Manage and monitor payments for company AMEX card.
- Manage and monitor payments for the Bunnings Power Pass cards.
- Oversee all company trade credit accounts and ensure payments are made on time.
- Handle ad-hoc credit card payments as required by the company.
- Track car and forklift loans and manage monthly payments, ensuring they are made on time.
- Ensure all company phone bills, insurance policies and software subscriptions are managed and paid on time
- Serve as the primary point of contact between the company and external accountants for BAS (Business Activity Statement) and end-of-year tax matters.
- Assist in gathering necessary documentation for the Australian Tax Office (ATO) and ensure compliance with tax regulations.
- Maintain organized financial records, ensuring that all transactions are accurately logged and accessible.
- Assist directors with financial decision-making by providing timely, accurate, and relevant financial data.

Skills and Qualifications:
- Bachelor's degree in Accounting, Finance, or related field.
- Proven experience in accounting, particularly in the construction industry.
- Experience using Xero
- Strong knowledge of financial reporting, budgeting, and job cost tracking.
- Understanding of payroll processing, tax laws, and ATO requirements.
- Ability to handle multiple projects and meet deadlines.
- Strong organizational and communication skills.
- Experience working with external accountants and tax compliance.
