The Position
We are seeking applications for a full-time Receptionist for our busy Underwood Head Office.
Office experience would be helpful - but is not required - for this role and experience in the Legal Industry would be advantageous.
This role may suit either an experienced office administration professional or an entry level individual motivated to start or progress a career in office administration.
The successful candidate must:
- Have a current Australian Driver's license;
- Have excellent verbal communication skills with the ability to display empathy and client confidentiality in those communications;
- Be highly motivated and demonstrate attention to detail in tasks;
- Ability to work proactively and autonomously as part of a team; and
- Have a positive ‘can do’ attitude.
The role is available for an immediate start and is an on-site role with available free parking close to infrastructure and immediately accessible to the Pacific Highway.
Role Responsibilities:
- Answering telephone calls and forwarding messages efficiently for both Stokes Lawyers and Men’s Legal Service;
- Greeting clients and guests, prepare refreshments as requested;
- Scan and save documents into practice management system;
- Scan and save supplier invoices as required;
- Collect, log and post ingoing and outgoing mail;
- Prepare the Daily Staff Attendance Update;
- Update the internal phone extension list and the Emergency Evacuation list;
- Purchase office and kitchen supplies on company card;
- Tidy the kitchen;
- Purchase lunches for staff meetings;
- Maintain and update company registers under direction of the Office Manager;
- Communications with potential clients of the firm;
- Diary management and creation of new calendar bookings for initial consultations;
- Input information into management system – (data input and invoice creation);
- Manage the and forward administrative email account and action enquiries;
- Ad hoc tasks as delegated by the Office Manager and Director.
