About the Role
Due to an internal promotion, we are currently looking for a highly motivated and hardworking Administrative Assistant to join our team.
The Administrative Assistant is a unique position. It takes a varied set of skills – and an amazing individual – to really thrive and make this role their own. You’ll need to be a team player, enthusiastic, show initiative with excellent communication skills and the ability to juggle a varied workload.
The role is full time based at our Dandenong South office, working within a friendly and supportive team, (part time hours negotiable - minimum 3 days).
The Administrative Assistant’s duties will include:
- Greeting clients and visitors in a friendly & professional manner
- General Reception duties including answering all incoming calls and transferring to appropriate team members, scheduling appointments and meetings and attending to client enquiries
- Ensuring the office is clean and tidy, set up meeting rooms, ensure tea & coffee is replenished etc
- Monitoring and order stock/stationary/consumables
- Update and maintain office registers, including licenses, staff contact lists, and uniform records
- Monitor and respond to emails, drafting communications as needed
- Prepare meeting agendas, reports, and presentations; take minutes and follow up on actions
- Perform take-offs for construction estimates
- Create new jobs in software when signed documents have been returned
- Assist the Accounts department when required, including but not limited to; invoice entering and scanning
- Monitor and manage first aid kits, ensuring they are stocked and compliant
- Coordinate events such as meetings, conferences, and business functions.
- General office administration duties and adhoc projects as required
Our ideal candidate will have:
- Bachelor, Diploma or Certificate IV in Business or relevant experience
- Previous reception, customer service and/or administration experience preferred but not essential
- Accounts experience desirable
- Strong Microsoft Office skills (Word, Excel, and Outlook)
- Excellent verbal and written communication, including professional telephone manner
- Demonstrate high level or professionalism and ability prioritize and organize, with attention to detail
- Well presented
- Fast learner with systems and processes
- A people person – projecting a friendly, professional manner that is willing to ‘go the extra mile’.
