1. Invoicing & Financial Administration

  • Prepare, issue, and track invoices in a timely manner.
  • Verify invoice accuracy and ensure all necessary documentation is included.
  • Follow up on outstanding payments and assist with collections as needed.
  • Maintain accurate financial records and assist in reconciliation processes.

2. Client Updates & Communication

  • Serve as the primary point of contact for client inquiries and updates.
  • Provide regular updates to clients regarding job progress and expected completion dates.
  • Address client concerns promptly and escalate issues when necessary.
  • Maintain a professional and friendly relationship with clients through phone, email, and in-person interactions.

3. Job Completion Updates

  • Track job progress and ensure updates are communicated to relevant stakeholders.
  • Coordinate with internal teams to confirm job completion and relay final details to clients.
  • Ensure all required documentation, reports, and confirmations are sent upon job completion.

4. Customer Satisfaction & Follow-ups

  • Conduct follow-ups with clients to ensure satisfaction with completed work.
  • Address any post-service concerns and escalate unresolved issues to management.
  • Gather client feedback and assist in improving service delivery.
  • Maintain a database of client interactions and satisfaction reports.

Qualifications & Skills:

  • Proven experience in an administrative, office assistant, or customer service role.
  • Strong knowledge of invoicing and financial documentation.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and invoicing software.
  • High level of accuracy, organization, and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Strong interpersonal skills and a customer-focused approach.

Preferred Qualifications:

  • Experience with accounting or invoicing software Xero, simpro and servicem8
  • Background in client relations or customer service.
  • Ability to work independently and as part of a team.
