About the role

AIBI Higher Education Pty Ltd is seeking a talented and dedicated Library, Secretariat and Academic Support professional to join our team. This is a full-time position based in our central Sydney office. In this key role, you will be responsible for providing high-quality library, secretariat, and academic support services to our thriving higher education institution.

This is an exciting and multi-faceted role contributing to enhancing student success and academic integrity within AIBI HE. This position involves managing a small student focused library, minute-taking and other secretariat services, and providing student academic support.

Key Responsibilities:

  1. Library
  • Manage the digital resources subscriptions and students’ access to those resources in collaboration with academic staff and adjuncts.
  • Prepare and manage physical textbooks for the library at AIBI campuses
  • Support and implement the library’s strategic planning process, aligned to AIBI strategic plan for all AIBI campuses.

2. Secretariat

  • This role will provide secretariat services for AIBI HE governance entities.
  • This will include a yearly: Corporate Board, Academic Board, Audit and Risk Committee, Teaching and Learning Committee, and Course Advisory Committees (dependent on the new courses in development).
  • Prepare agendas, minutes, and action items for meetings, ensuring accurate documentation and follow-up.

3. Student Support Management:

  • Oversee the Student Support and MAP (Monitoring Academic Progress) intervention programs.
  • Act as the primary contact for student academic support queries and issues.
  • Collaborate with academic staff to provide tailored support for students facing academic challenges.

4. Complaints and Appeals Process:

  • Manage and coordinate the complaints and appeals process in line with institutional policies.
  • Ensure that student complaints are addressed promptly and fairly, maintaining a focus on continuous improvement.

5. Canvas LMS Development:

  • Work closely with the Education Team to enhance the Canvas Learning Management System (LMS).
  • Assist in the development and updating of academic content within Canvas to meet curriculum standards.

6. Orientation and Workshops:

  • Present the Student Support section during orientation sessions for new students.
  • Conduct academic support workshops, providing students with tools and resources for academic success.

7. Collaboration:

  • Work collaboratively with faculty, administrative staff, and external stakeholders to promote student welfare and academic achievement.
  • Engage in continuous professional development to stay updated on best practice in academic support.

Qualifications and experience:

  • Bachelor’s degree in any field.
  • Experience in academic support, secretariat, student services, or related roles.
  • Strong communication, English language and interpersonal skills.
  • Knowledge of educational technology and online learning platforms (e.g., Canvas).
  • Strong in use of Word, Excel and PowerPoint.
  • Managing Library and online portals like EBSCO.
