We are a busy law firm specialising in criminal law. We are based in Sydney City and have a business on the Gold Coast for which you will be providing assistance remotely.
We are in search of a reliable Practice Manager on a full time paid permanent basis (5-days per week Mon-Fri 8:30am-5:30pm with the option to work from home up to two days per week) with the following requirements:
Key Responsibilities:
Operations Management:
- Oversee the daily operations of the law firm, ensuring processes are efficient and resources are allocated appropriately.
- Implement and refine office procedures and workflows to maximize productivity and maintain high-quality client service.
- Manage the firm's case management system and ensure that all files and client data are organized and up-to-date.
Financial Oversight:
- Manage trust account.
- Oversee billing to ensure timely payments and accurate record-keeping.
- Payment of invoices.
Client Relations:
- Serve as a first point of contact for clients, addressing enquiries and concerns promptly and professionally.
- Manage client intake processes and manage case assignments.
- Ensure a high level of customer service and client satisfaction throughout the case lifecycle.
Team Leadership & Development:
- Supervise and support a team of lawyers and law clerks.
- Set performance goals and objectives for lawyers.
- Conduct performance reviews with lawyers.
- Ensure performance objectives are being met by lawyers.
- Coordinate staff training and development to ensure compliance with legal standards and firm procedures.
- Manage employee onboarding and offboarding
- Oversee recruitment and termination processes
- Foster a collaborative, positive, and efficient working environment for all staff members.
Compliance & Risk Management:
- Ensure that the firm complies with all local, state, and federal regulations regarding criminal law practice.
- Monitor and enforce compliance with ethical guidelines, and firm policies.
Reports To:
Principal
Required Qualifications:
- Minimum of 2 years of experience in legal administration or practice management
- Proven experience managing office operations, financials, and client relationships.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and work under pressure in a fast-paced environment.
- Strong leadership skills with the ability to motivate and manage a diverse team.
- Previous experience with LEAP software is a bonus.
