Our client is one of the largest wealth management firms in the world, seeking a Business Support Associate to join their team in Adelaide. A motivated individual who thrives under pressure and can meet tight deadlines to drive the efficiency of administrative processes, ensuring compliance, and fostering effective communication across national teams.

Key Responsibilities:

  • Operational Support, managing the national wealth inbox, addressing queries from various teams
  • Greet clients upon arrival and answer main switch in a cordial, professional and timely manner.
  • Support the coordination of Corporate Actions and Initial Public Offerings (IPOs).
  • Ensure adherence to regulatory standards, including Know Your Client (KYC) and Anti-Money Laundering (AML) requirements.
  • Assist with FATCA (Foreign Account Tax Compliance Act) reporting obligations.
  • Manage and process Sophisticated Investor Certificates (SOPs).
  • Maintain arrival area, meeting rooms and client kitchen.
  • Oversee national Financial Advisor (FA) dashboard send-outs and IT requests (e.g., securID, BYOD).
  • Organize and coordinate branch events, client events, seminars, and corporate presentations
  • Reception Management - manage office supplies including ordering and monitoring usage.
  • Scanning including storage, filing and archiving of all scanning documents.
  • Correspondence – timely distribution of all faxes (incoming and outgoing), distribution of Australia Post Mail, monitor correspondence in conjunction with Branch Manager to ensure adherence to Correspondence Policy.
  • Provide Back up to Administration Manager as required (this can include managing the branch cheque handling procedures, processing of branch expenses).

Key Skills/Knowledge:

  • Knowledge of switchboard operation and telephone equipment.
  • Well-developed IT literacy, database and analytical skills.
  • Relevant Office skills studies highly regarded.
  • Front office administrative and/or operations experience preferred.
  • Excellent communication and influencing skills.
  • Ability to work under pressure and to tight timeframes within a team.
  • Goal-oriented with demonstrated drive and initiative.
  • Communicate clearly and professionally in written and oral forms to both internal and external clients.
  • Positive attitude, Proactive, punctual and reliable.
  • Professional presentation and strong attention to detail.
  • Strong interpersonal skills - Ability to work and interact with a variety of people.
  • Strength in organizational ability and work unsupervised.
  • High level of initiative, ability to prioritise and multi-task.
