$36.57 per hour + salary packaging | Administrative Services Officer - Grampians Mental Health & Wellbeing Service
Permanent Full Time opportunity | 40 hours per week including a monthly ADO
About the Role
This is a dynamic front line position supporting both community and inpatient mental health services across the Ballarat region. You'll be part of a committed administration team, providing essential support to multidisciplinary teams, patients, and families. The role offers variety, responsibility, and the opportunity to work in a fast-paced health environment. Your day-to-day will involve reception duties, data management, medical correspondence, and interaction with staff and service users. While the core hours are weekdays, there is also the opportunity to participate in a rotating weekend roster supporting the inpatient unit.
Key Responsibilities
Manage reception, phone, and front line enquiries with professionalism
Maintain patient information using CMI, WebPAS, BossNet (OPAL), and more
Compile correspondence, type medical reports, and support data reporting
Support calendar management, meeting agendas, and room bookings
Audit and update data to ensure patient record accuracy
Contribute to service improvement and admin system efficiency
Skills & Experience
Proven admin experience in a health, mental health, or medical setting
Proficient in Microsoft Word, Excel, Outlook, and health information systems
Confident communicator with strong customer service skills
Ability to prioritise under pressure and adapt to changing needs
Understanding of medical terminology and confidentiality principles
