Join the team at the Cumming Global Centre for Pandemic Therapeutics as a Project Officer and play a central role in advancing critical initiatives that shape the future of pandemic preparedness. Reporting to the Director—Strategy & Operations, you will provide high-level administrative and operational support to ensure the smooth running of the Centre and directly support three major initiatives: a significant faculty recruitment program, a flagship fundraising initiative, and a major research symposium.

In this fast-paced, service-oriented environment, you will apply your strong organisational and problem-solving skills across a broad range of tasks including event coordination, communications, diary management, financial processing, contracts, procurement, and stakeholder engagement. Your ability to work flexibly and collaboratively will be key as you liaise with internal teams and external partners to deliver outstanding outcomes.

You will also contribute as an active member of both the Centre Secretariat and the Doherty Institute Directorate, working with peers to improve and align administrative processes and strengthen collaboration across the University.

Your responsibilities will include:

  • Provide administrative support to ensure efficient running of the day-to-day activities within the Centre, including completing routine administration processes such as mail, contact lists, office equipment and stationery supplies, assist with staff inductions processes.
  • Provide executive support for the Centre faculty recruitment program, arranging meeting reports, committee papers, agendas, minutes, and correspondence as required, including travel, invoicing, expenses, and logistics as required.
  • Support the recruitment team to plan, assemble and schedule interview panels, meetings and reviews.
  • Provide support to the Director—Strategy & Operations as the flagship fundraising initiative is launched to manage partner liaison, onboarding paperwork and registration, draft reporting, and logistics.
  • Provide administrative and operational support in the planning and delivery of an annual research symposium, including travel and logistics support for a large number of visiting delegates and presenters.
  • Provide administrative support for Centre events as required which may include booking venues creating event listings, updating calendars, ordering catering as well as providing support on the day of the event.

You also have:

  • A degree or an equivalent combination of relevant experience and/or education/training.
  • Well-developed professional organisational skills including the ability to coordinate workflow, prioritise tasks and meet deadlines in a fast paced environment, whilst paying attention to detail.
  • Excellent communication and interpersonal skills including a strong customer focus with the ability to interact with a diverse range of stakeholders.
  • Ability to plan and organise efficiently, manage competing priorities and complete projects within stringent timeframes.
  • Demonstrated ability to work with tact, diplomacy and maintain confidentiality while keeping stakeholders informed of progress of requests in a changing environment.
  • High level of proficiency in the use of standard application software such as the Microsoft Office suite specifically Outlook, Word and Excel.
