Key Responsibilities:

Telephone & Client Interaction:

Answer incoming calls and provide professional assistance.

Manage client communications and maintain a welcoming atmosphere.

Booking & Scheduling:

Schedule quotes and appointments for the team.

Manage diaries and coordinate schedules efficiently.

Office Administration:

Oversee inbox management and ensure prompt responses.

Follow up on leads and quotes to maximize opportunities.

Monitor and track new sign-ups to support business growth.

Council & Documentation Tasks:

Prepare and submit council documents and notifications.

Create payment schedules and contracts for client distribution.

Enter invoices and maintain accurate financial records.

Document & Record Management:

Maintain both digital and physical filing systems, ensuring documents are up-to-date, organized, and easily retrievable.

Ensure compliance with data protection regulations and company policies.

Office Coordination:

Manage office supplies and coordinate maintenance of office equipment.

Assist in organizing company events and meetings, including preparing agendas and taking minutes.

Liaise with other departments to ensure smooth office operations.

Tools & Software Proficiency:

The ideal candidate will have experience with or be willing to learn the following software and systems:

Microsoft Outlook and other Microsoft Office tools.

Adobe Acrobat.

ServiceM8.

Xero.

What We’re Looking For:

Strong organisational skills with the ability to multitask effectively.

Excellent communication and customer service skills.

Keen attention to detail and a proactive approach to problem-solving.

Ability to manage multiple administrative duties concurrently.

Prior experience in an administrative role is desirable.

Comfortable with using and learning new technology and software applications.
