Job Title: RECEPTION CENTRE MANAGER

Reports to: OPERATIONS MANAGER

Location: ZINC AT FED SQUARE

Melbourne, VIC

Salary: $75,000 - $80,000 per year, plus super

Zinc is already the premier event space in Melbourne. Filled with natural light and overlooking the Yarra River and city skyline, it’s the perfect canvas to host corporate and special events, weddings, gala dinners and more.

We are looking to add a Reception Centre Manager that has a drive and passion for delivering outstanding events.

Almost three years into its new independent ownership structure, the business has never been stronger. Working with Melbourne's best clients on some very exciting events and show-stopping weddings.

Whether it’s a vibrant corporate event or spectacular wedding, we are looking for someone who can continue the event journey, leading our clients through event execution on the day of their event, making sure we deliver. You’ll understand the importance of attention to detail, and you'll inspire confidence in each and every client, ensuring that their event will be a complete success.

TASKS & RESPONSIBILITIES

Event & Operational Duties

Responsible for running and coordinating events, including set up, event delivery, venue resets, to ensure client requirements and expectations are met and exceeded

Ensure all events run smoothly, and the needs of the client are attended to promptly and efficiently

Produce menu cards and signage for all events.

Ensure all venue procedures and policies are upheld

Order and manage logistics for event supplies, including linen, beverages, and other necessary items

Manage deliveries for clients and suppliers

Food safety and hygiene standards are maintained

Responsible Service of Alcohol is practiced at all times

Ensure OH&S is maintained according to legislation and company guidelines, and perform duties in accordance with accepted safe working practices

Ensure the security, cleanliness, and maintenance of Zinc

Ensure contractors and clients adhere to the site rules and regulations and terms of their contract

Ensure all supplier invoices are processed in a timely manner

Team Management

Supervise front of house team members

A hands-on approach with set-ups and functions and to show leadership and ensure high level attention to detail, with a lead by example attitude and consistently encourage teamwork

Assist the Operations Manager in planning, budgeting, and invoicing to ensure smooth administration and coordination of all events and cost efficiencies

Conduct staff briefings

Training of staff

Recruitment

Rostering and payroll management

Client Relationship Management

Maintain and develop professional relationships with internal and external business contacts, including key Zinc departments

Have a thorough knowledge of the venue and product knowledge to ensure clear communication with clients

Maintain a same-day (or maximum 24-hour) response to event enquiries, customer requests, and post-event follow-up

Administration

Produce proposals, reports, function reports and records in an efficient and organised manner, according to venue format, pricing structure, and yield management

Assist with additional projects as requested, such as telemarketing, updating standard documents, coordinating client gifts, coordinating client entertainment activities, open days, preparing databases, etc

Planning and Improvement

Advance planning and preparation for weekly meetings to ensure customer satisfaction

Actively be involved in internal projects to ensure continuous improvement. Initiatives may include, but are not limited to, industry presentations, seminars, and open days

Develop a close working relationship with Venue Staff to understand the business and cultivate an environment of trust and collaboration

Physical Demands

This role will require a naturally energetic and flexible individual who is accustomed to working in a fast-paced environment and has proven capacity to work well under pressure and to strict timelines

SKILLS & EXPERIENCE REQUIRED

· Strong experience in event delivery within a high-end venue

· Passion for exceptional customer service

· Proven experience in leading a team of front of house professionals

· A love of food and wine and a passion for real hospitality

· A desire to learn and grow to be the best you can be

· Creativity and the ability to problem solve

· The drive to crush goals and exceed client expectations

· Outstanding ability to really listen to clients, understand their event vision and provide tailored, expert advice to bring their event to life

· A willingness to buy into the team and play your part in making us better

· Possess superior attention to detail, strong communication skills, ability to multitask and work under pressure to strict deadlines

· Display a positive, can-do attitude always

· Computer savvy and experience with event software and floorplan design

QUALIFICATIONS

Diploma of Hospitality Management, Event Management, Tourism, Marketing or equivalent
