About the Role:

We are seeking a highly organised and proactive Operations Officer to join our dynamic team. This pivotal role is central to the smooth and efficient running of our daily operations. You will be responsible for ensuring compliance, managing rosters, supporting our valued team of support workers, and maintaining strong relationships with stakeholders, all while working within the NDIS framework.

Key Responsibilities:

NDIS Coordination: Demonstrate a strong understanding of the NDIS framework, including participant plans, funding, reporting requirements, and quality standards. Ensure service delivery aligns with NDIS guidelines.

Rostering Management: Develop, manage, and optimise support worker rosters to meet participant needs, ensuring continuity of care and efficient use of resources. Handle shift changes, leave requests, and troubleshoot scheduling conflicts promptly.

Compliance & Quality Assurance: Ensure all operational activities adhere to NDIS Quality and Safeguards Commission standards, relevant legislation, and internal policies and procedures. Assist with record-keeping, documentation management, and preparation for audits.

Policy & Procedure Maintenance: Assist in the review, updating, and implementation of operational policies and procedures. Effectively communicate changes to relevant staff.

Stakeholder Liaison: Build and maintain positive, professional relationships with NDIS participants, their families, support coordinators, NDIS representatives, and other external stakeholders. Serve as a key point of contact for operational inquiries.

Support Worker Liaison & Support: Act as a primary point of contact for support workers regarding rosters, timesheets, operational procedures, and general inquiries. Provide guidance and support to ensure they feel equipped and valued.

General Office Operations: Contribute to the overall smooth running of the office environment, including managing administrative tasks and identifying opportunities for process improvement.

About You (Skills & Experience):

Essential:

Proven experience in an operational, administrative, or coordination role, preferably within the disability, aged care, or community services sector.

Crucial: Solid understanding and practical working knowledge of the NDIS framework, including its principles, funding structures, and compliance requirements.

Demonstrated experience in staff rostering/scheduling, preferably using relevant software.

Excellent organisational and time management skills with the ability to manage competing priorities effectively.

Strong problem-solving skills and high attention to detail.

Exceptional interpersonal and communication skills (written and verbal) for liaising effectively with diverse stakeholders.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems quickly.

Commitment to person-centred approaches and the rights of people with disability.

Ability to maintain confidentiality and handle sensitive information appropriately.

Current NDIS Worker Screening Check (or willingness to obtain).

Valid Driver's Licence.

Desirable:

Experience using specific rostering/client management systems ShiftCare. (optional)

Experience in policy review or development.

Relevant qualifications in Business Administration, Community Services, Disability Support, or a related field.
