Position Summary

Are you a highly organised and detail-oriented administrator looking to support a dynamic and prestigious medical training program? We are seeking an Education Administration Officer on a 6-month FTC to join our team and provide essential support for the Oral and Maxillofacial Surgery (OMS) Training Program across Australia and New Zealand.

Reporting to the Education Manager – OMS, you will assist in the administration and coordination of the OMS Training Program, ensuring seamless operations across trainee engagement, accreditation, committee support, and examinations. This is an exciting opportunity for someone who thrives in a fast-paced environment and enjoys working with multiple stakeholders.

Responsibilities

Administrative & Operational Support:

Assist in organising and scheduling meetings

Maintain accurate trainee and training site records in the database.

Prepare and distribute meeting materials, reports, and documentation.

Manage trainee inbox, responding to queries and directing enquiries as needed.

Providing Reception support including answering phone calls and maintaining a tidy workplace

Coordinate event management and oversee travel arrangements

Trainee & Stakeholder Engagement:

Provide frontline support to trainees regarding program requirements, track and record trainee assessments and monitor their progress

Liaise with training supervisors and stakeholders to facilitate training

Assist with the coordination of Education Events for trainees

Committee Support:

Maintain records and assist in report analysis.

Provide administrative support to the Board of Studies and subcommittees, including meeting coordination, agenda preparation, and minute-taking.

Examinations Administration:

Support the planning and execution of the Foundation Examination and Fellowship Examination.

Act as an invigilator during examinations when required.

Job Skills & Qualifications

Strong administrative skills with experience in office coordination, scheduling, and data entry.

High attention to detail and ability to manage multiple tasks efficiently.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Experience with database management and CRM systems such as iMIS.

Ability to work independently while collaborating effectively with teams.

Ability to take initiative and independently identify solutions.

Previous experience in an education, training, or healthcare setting is desirable but not essential.

Position Requirements

The ideal candidate will have strong administrative skills, with experience in office coordination, scheduling, data entry, and proficiency in Microsoft Office Suite. You must demonstrate excellent written and verbal communication skills, a high attention to detail, and the ability to manage multiple tasks efficiently.

The role requires the ability to work independently while collaborating effectively with teams and taking initiative to identify and implement solutions.
