We are seeking an outstanding receptionist / office co-ordinator to fill a short term position commencing 28th April 2025

After a short but intensive onboarding with our established procedures and systems, you will ensure smooth operations by organising, prioritising, and executing tasks across all business functions. You will provide client reception as well as administrative, sales, and operational support, working independently within the provided guidelines. You'll also coordinate resources and day to day operations of our training facilities.

This 4 month fixed-term role may be extended for the right candidate based on business needs. This is a full time in-office role in our Caringbah office and training centre. Early morning starts are balanced with early finish times. Option to also include a monthly RDO in the remuneration structure.

Key Responsibilities
• Reception duties including greeting clients and students
• Managing phone calls and emails, including student bookings and sales inquiries
• Organising and scheduling courses, venues, trainers, and client meetings and associated administrative tasks
• Providing administrative assistance to the Directors
• Supporting sales and marketing efforts, including social media posts
• Organising the office and training facility, managing stock, and maintaining cleanliness
• Preparing invoices and performing basic account keeping tasks
• Reviewing and drafting documentation for clients and internal use
• Ensuring accurate data input and management for new and existing records

Competencies and Experience Required
• Previous experience in an office environment with the ability to adapt swiftly to new settings.
• Demonstrable flexibility, initiative, and a proactive approach to work.
• Proficient diagnostic skills and the capability to determine the optimal method for task completion.
• Exceptional time management abilities, with a talent for prioritising tasks and maintaining organisation during busy periods while sustaining productivity during quieter times.
• Superior written and spoken English, with the ability to effectively communicate with diverse people in face to face, phone, or online situations.
• Consistent, calm and personable demeanor, and a positive attitude even in high-pressure situations.
• Capacity to rapidly comprehend and adhere to strict compliance and reporting requirements
• Extensive knowledge of Office 365 tools and a general understanding of common computer systems such as booking/CRM, email management, and social media platforms.
• Working knowledge of accounting principles, systems, and invoicing standards.
• Eagerness to adopt new technologies and acquire more complex computing skills.
• Basic sales and marketing knowledge, techniques, and/or relevant experience.
• Willingness to work flexibly within the business and support the team as needed.
• General awareness of WHS Policies and Procedures, including a basic understanding of WHS legislation and regulations.

Support and Onboarding

As this is a short term role we understand the importance of rapid onboarding, be prepared for intensive training in our established systems in the first 1-2 weeks of this role for the successful candidate. Ongoing support and oversight will be provided as needed to ensure successful execution of the required duties.

Qualifications Required
Completion of Year 12 or equivalent is required.

Applicants must also have, or be currently pursuing, a diploma, certificate, degree in business administration, or business-related qualifications, or possess equivalent experience.

Successful applicants will undergo Police Checks and Working With Children Checks before hiring.

A driver's licence is preferred.

Working Hours
This position requires full time in-office attendance, with normal working hours from 7:00 am to 3:00 pm on weekdays.
