We are looking for a highly organized and detail-oriented individual to join our dynamic team in a combined role as a Vehicle Stock Controller & Admin Assistant. If you have a passion for the automotive industry and possess strong administrative skills, this is the perfect opportunity for you!
Position: Vehicle Stock Controller & Admin Assistant
Location: Leading Toyota Dealership, located on the QLD-NSW Border
Type: Full-time
Salary: Competitive, based on experience
Key Responsibilities:
Vehicle Stock Control:
- Manage and oversee all incoming and outgoing vehicle stock.
- Ensure accurate stock levels and update inventory records in real time.
- Coordinate vehicle storage and distribution to various departments or locations.
- Conduct regular stock audits to ensure stock accuracy and resolve discrepancies.
- Collaborate with sales and purchasing teams to maintain optimal inventory levels.
- Ensure all vehicles meet quality and safety standards before release.
- Handle vehicle documentation, licensing, and registration requirements.
Auditing:
- Perform regular vehicle stock audits and inspections to verify inventory accuracy.
- Ensure audit compliance with company policies and industry standards.
- Address and resolve any discrepancies or issues found during audits.
- Prepare audit reports and assist management in reviewing inventory control systems.
Administrative Support:
- Provide administrative assistance to ensure smooth office operations.
- Assist with scheduling, filing, and maintaining records.
- Handle customer inquiries and direct them to the appropriate department.
- Assist in preparing reports, documents, and presentations.
- Maintain and organize office supplies and equipment.
- Coordinate internal communications and meetings.
- Perform basic bookkeeping, manage invoices, and assist with expenses.
Requirements:
- Previous experience in vehicle stock control or inventory management is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Strong attention to detail and organizational skills.
- Ability to multitask and work in a fast-paced environment.
- Good knowledge of vehicle types and industry standards.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication, customer service, and teamwork skills.
- Previous auditing experience or knowledge of auditing processes is highly desirable.
