About the Opportunity
As the Office Manager, you will be responsible for overseeing the day-to-day operations of the Sydney office, supported by the Sydney Office Administration Assistant. This role requires versatility, from engaging with key stakeholders in the boardroom to ensuring the kitchen and break areas are clean, well-stocked, and ready for use. You will play a crucial role in maintaining a professional and positive workplace environment, both operationally and culturally. Reporting to the Manager of Corporate Operations, People & Culture, you will ensure the smooth running of the office through efficient, cost-effective planning and delivery.
Your Role
In this role, you will:
- Monitor daily-use facilities, including stationery, kitchen consumables, and hygienic upkeep of kitchen supplies and equipment.
- Oversee deliveries, couriers, mail handling, and the reception phone line, managing and redirecting inquiries.
- Take charge of emergency procedures (including Fire Wardens) and first aid requirements for the office.
- Work closely with the IT team to ensure AV and IT equipment in meeting rooms is fully functional.
- Maintain effective relationships with building management, concierge, mailroom, and security teams.
- Coordinate office maintenance, including special cleanings and interior upkeep with external contractors.
- Ensure that the office environment is clean and well-maintained, including vacuuming, tidying up the kitchen, and handling everything in between.
- Organise Board and staff functions, including catering for boardroom dinners and events, working directly with key stakeholders.
- Support the Corporate Operations Manager, People & Culture on key projects and ad hoc tasks, and provide backup to the Manager - Office of the CEO as required.
- Manage the office credit card, budgets, project reporting, reconciliations, and quarterly audits of staff security access passes.
- Handle monthly facilities reporting and quarterly building management audits.
To be Successful, You Will Have:
- Proven experience as an Office Manager in a medium to large corporate environment (or at least 7 years in a senior administration or coordination role).
- Strong event coordination and management experience.
- Exceptional planning, organisational, time management, and problem-solving skills with the ability to influence others without authority.
- A positive, professional manner, with the initiative to achieve team and organisational objectives.
- Experience managing and mentoring administration team members.
- High reliability, accuracy, and attention to detail, with excellent written and verbal communication skills.
- A high level of integrity, discretion, and confidentiality, particularly when handling sensitive information.
- Ability to work independently, as well as collaboratively on projects and team initiatives.
- Advanced proficiency with MS Office (Outlook, Word, Excel, PowerPoint) and other relevant systems.
- A collaborative approach, with a strong focus on teamwork.
- Willingness to take on tasks across all areas of office management, from high-level stakeholder engagement to the everyday cleanliness and maintenance of the office environment.
