Join Impact, on an exciting journey as we seek a talented and driven individual to join our tight-knit team as a full-time Program Manager. The candidate will be based in Sydney, preferably in the Northern Beaches or North Shore area, this role offers a mix of work-from-home and office-based arrangements, providing you with flexibility and a great work-life balance.
About The Role
Program Managers keep all members of our client service teams moving in the same direction. Program Managers need to be proactive, anticipate and plan for internal and external needs and navigate any disruptions or roadblocks that may arise.
Organisation skills and agility is essential in managing multiple clients and multiple priorities. This position is mostly behind the scenes of the final deliverable, with occasional face-to-face or virtual delivery support required.
This is a rewarding position, doing meaningful work, and involves working closely with very talented and caring team members.
Key Duties and Responsibilities
- Work with internal teams in partnership with the client to plan and achieve project milestones and key deliverables
- Develop and maintain project plans
- Build strong relationships with all stakeholders and at times act as a main point of contact
- Conduct project team check-ins and manage agendas
Program Development and Logistics
- Manage the administration, production and distribution of all program materials (print or digital) ensuring materials are proofed, edited and formatted to a high quality
- Manage face-to-face program logistics. This includes liaising with the client, Impact Account Manager and venue to ensure a smooth program experience for all participants and Impact staff. Scheduling dates, booking staff flights/accommodation and organising venue AV and room setup.
- Provide on-site program support when needed
- Manage virtual program logistics. This includes overseeing the initial setup of web platforms (Zoom, Teams etc) for virtual interface, and requires a general understanding of the flow and needs to support facilitators, technical producers and client I.T.
- Create and manage processes for large project roll-outs
- Provide technical support on virtual programs when needed
- Conduct internal staff training when needed and be across I.T platform updates
- Manage post-program follow up work – consolidate feedback surveys, evaluation reports, program reviews, client follow up/meetings
Resource Management
- Staffing – scheduling, contracting, and liaising with program staff
- Project equipment – procurement, management, deployment and repair/replacement of all project/program materials

- Speaks fluent English.

- Excellent written and verbal communication skills – you will be liaising with internal and external stakeholders
- Commitment to developing relationships to deliver excellent customer service
- Proven ability to prioritise multiple deliverables on multiple projects
- Positive assertion and influencing skills
- Good initiative and ability to deal with ambiguity - asking the right questions, anticipating needs and being resourceful.
- Ability to learn quickly and problem-solve
- Self-starter with ability to manage own initiatives
- Meticulous attention to detail
- Flexible and comfortable with ongoing change and development of the role as it continues to evolve in the digital space.
- High level of competence with web-based tools (i.e. MS 365 apps, Survey Monkey, Vimeo, Zoom, Microsoft Teams, Microsoft Forms etc.)
- High level of competence in Microsoft PowerPoint, Word and Excel to produce documents that are set out to specific standards; prepare high quality presentations, use databases effectively, produce statistics and graphs
