The opportunity

IFYS has an exciting opportunity for a Personal Assistant to join the team, supporting the State Manager - Non Family Based Care. The Personal Assistant will provide timely and accurate administrative support, including preparing reports, drafting correspondence, scheduling and monitoring the State Manager’s inbox.

Key objectives:

  • Monitor and manage the State Manager – Non-Family Based Care’s email inboxes, providing quality and timely responses, delegation and escalation as required
  • Organising meetings and appointments and preparing meeting agendas, any required paperwork and recording of minutes
  • Support the development and preparation of written or verbal correspondence for presentations, reports and internal staff communication
  • Collate, format, edit, proof and administer spreadsheets, registers, documents, draft plans and other documentation for internal and external distribution
  • Manage financial administration, including credit card reconciliation, invoice preparation, and budget tracking
  • Collect, maintain, and analyse records and data to support compliance, reporting, and auditing requirements

Key requirements:

  • Demonstrated experience in a Personal Assistant role or similar
  • Experience working within the Human Services, Government and/or Not for Profit sectors will be highly advantageous
  • Intermediate to advanced skill level with the Microsoft Office Suite, particularly Word, Excel and PowerPoint required
  • A high level of confidentiality, integrity and awareness of sensitive information
  • Strong communication, interpersonal and public relations skills to enable professional interaction with a diverse range of stakeholders
  • Exceptional attention to detail and accuracy
  • Advanced time management skills with an exceptional ability to prioritise a diverse workload

Must hold or be willing to obtain if successful:

  • Valid Queensland Driver's License with no restrictions, and own reliable transport
  • Queensland Working with Children Check (Paid Blue Card)
  • Licensed Care Service Suitability Check (LCS2)
  • National Criminal History Check (a new check will be conducted through IFYS systems)

Other requirements:

If progressed after interview stage, you will be requested to provide the details of your two most recent and relevant line managers to provide reference checks (this must include your current employer).
