IWG has a network of service providers and consultants that it refers clients to, depending on the nature of their requirements. As an industry leader, we are constantly monitoring the evolving financial and economic landscapes in order to serve our clients efficiently and effectively.We are looking at expanding our team and require a dedicated Property Support Administrator to create a smoother experience for our clients and team:

Role responsibilities:

  • Contract Management & Compliance

-Prepare, review, and manage property contracts, ensuring accuracy and compliance with legal standards.
-Ensure contracts meet regulatory requirements and are signed/executed in a timely manner.

  • Liaison with Legal Teams & Stakeholders

-Act as a primary point of contact for solicitors to address inquiries, resolve disputes, and progress contracts through to settlement with our Finance team.
-Coordinate communication between internal teams, property developers/builders, and other stakeholders.

  • Building & Pest Inspections

-Schedule and coordinate building and pest inspections with preferred partners
-Review and analyse inspection reports, ensuring any identified issues are addressed promptly.

  • Depreciation & Tax Reporting

-Assist with obtaining and managing depreciation schedules for property investments using our CRM
-Provide required documentation and information to support client tax-related needs.

  • Property Management Coordination

-Liaise with external property management teams, to ensure smooth property handovers, tenant management, and ongoing property services.
-Address any issues or queries from property managers and escalate where necessary.

  • Finance Team Support

-Collaborate with the in-house finance team to provide property-related items, including specific figures/expenses, valuations, and ongoing property requests

  • Acquisition Assistance

-Support the Head of Acquisitions in identifying and acquiring properties, including due diligence tasks, feasibility studies, and preparing acquisition reports.
-Manage all relevant documentation and processes required for successful settlements.

  • Database & Records Management

-Maintain accurate property files and records in our CRM, including legal documents, correspondence, and compliance information.

  • Client & Partner Communication

-Act as a professional and approachable point of contact for clients, providing updates on progress and addressing any property-related queries.
-Manage communication with development partners, agents, and other service providers.

  • Administrative Support for the Acquisition Team

-Assist in the preparation of presentations, reports, and briefing materials.
-Support the Acquisitions Managers in coordinating meetings, site visits, and project timelines.

  • Market Research & Insights (Optional)

-Conduct research into market trends, newsletters, and location insights to support acquisition decisions.

  • Process Improvement

-Identify opportunities to improve internal workflows related to contracts, acquisitions, and property management.Our ideal Property Support Administrator will have excellent organisational skills, attention to detail and the ability to manage multiple tasks simultaneously. You will also be able to communicate at a high level and be skilled in conflict resolution. You should be proficient in Microsoft Office Suite & Google Suite. Customer service orientation is also essential, as the role often involves interacting with clients. Property experience would be an advantage along with being a stand out team player!
