We are seeking a highly organized and professional Office Assistant/Receptionist to join our team. This role is ideal for someone who thrives in a fast-paced environment, has exceptional attention to detail, and enjoys interacting with clients and team members.

Key Responsibilities:

  • Front Desk Management: Serve as the first point of contact for clients and visitors, providing a welcoming and professional experience.
  • Call & Email Handling: Answer and direct incoming calls, respond to inquiries, and manage general office email correspondence.
  • Appointment Coordination: Schedule and manage meetings for brokers and executives.
  • Office Organization: Maintain office supplies, ensure a tidy workspace, and handle general administrative tasks.
  • Client Support: Assist clients with paperwork, onboarding procedures, and general inquiries.
  • Document Handling: Prepare, organize, and file essential documents, including compliance-related materials.
  • Team Support: Provide administrative support to brokers, including note-taking, research, and data entry.
  • Mail & Courier Management: Sort and distribute incoming mail, coordinate outgoing courier deliveries.
  • Seminar Preparation: Help set up for seminars and other events.

Key Qualifications & Skills:

  • Strong communication skills – both written and verbal
  • Highly organized with the ability to multitask and prioritize tasks efficiently
  • Attention to detail – accuracy in handling documents and scheduling is crucial
  • Professional demeanor – ability to interact with high-net-worth clients and senior executives
  • Tech-savvy – proficiency in Microsoft Office (Word, Excel, Outlook) and CRM systems
  • Proactive mindset – ability to anticipate needs and take initiative
  • Prior experience in a finance, investment, or corporate environment is preferred but not required
