AJ Lucas Services, a pioneering leader in engineering and construction, is looking for a linchpin Executive Assistant to primarily support our Managing Director. In this pivotal role, you’ll be the driving force behind seamless head office day-to-day operations—managing a busy calendar, coordinating intricate travel arrangements, handling confidential communications, and ensuring nothing slips through the cracks. You’ll be guiding the Managing Directors priorities, scheduling critical meetings, and even managing personal tasks to keep his day running like clockwork. You’ll also be providing administrative support to the Chairman and Operations Manager.

The role at a glance
- Monitor and triage incoming emails, mail, and documents to ensure prompt follow-up and seamless information flow.
- Manage the Managing Director’s diary by prioritising key appointments and drawing attention to critical issues, keeping his day perfectly aligned with business priorities.
- Orchestrate all travel arrangements—booking flights, accommodations, ground transport, and crafting detailed itineraries—to ensure smooth and efficient journeys.
- Attend meetings and support the Managing Director to record timely and accurate meeting notes.
- Oversee the Managing Director’s personal calendar, including family travel and private tasks, to maintain a balanced work-life dynamic.
- Anticipate the Managing Director’s needs by building an intuitive understanding of his obligations and working style, ensuring his agenda remains on track while his focus is directed elsewhere.
- Co-ordinate and keep the office and kitchen tidy and organised. Set up meeting rooms, greet visitors, organise refreshments, and maintain office supplies.
- Provide administrative support to the Chairman, Operations Manager and any projects as needed.

Your sharp administrative skills will also be key in supporting the Chairman and Operations Manager, ensuring they stay organised and focused also.
