Job Description:
The Project Coordinator / Contracts Administrator will provide project management and administrative support, ensuring all contracts and project documentation comply with industry standards and company policies. The ideal candidate will be highly organized, proactive, and adept at balancing multiple priorities effectively in a medical fitout environment.
Key Responsibilities:
Contracts Administration:
- Review, draft, and negotiate contracts in line with company policies and healthcare regulatory requirements.
- Ensure all contracts comply with industry-specific legal and regulatory standards.
- Maintain and manage a database of all contracts and related documentation.
- Coordinate with internal teams to ensure timely execution and compliance with contract terms.
- Address and resolve any contract-related issues or discrepancies.
Documentation and Reporting:
- Maintain accurate project records, reports, and documentation specific to medical fitout projects.
- Provide regular updates to management on project and contract status.
- Assist in preparing and tracking project budgets, timelines, and deliverables.
Liaison Role:
- Act as the primary point of contact for clients, contractors, and vendors regarding contracts and project-related queries.
- Collaborate with legal, procurement, and finance teams to address contract-related matters within the medical fitout industry.
Qualifications:
Education:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
Experience:
- Minimum of 3 years of experience in project coordination and/or contracts administration, preferably within the Medical Fitouts or Healthcare Construction sector.
- Experience with contract management software and project management tools.
Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- High attention to detail and ability to manage multiple tasks simultaneously.
- Strong problem-solving and decision-making skills.
- Ability to work under pressure and meet strict deadlines.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with project management software (e.g., MS Project, Trello, Asana).
- Knowledge of contract law and healthcare regulatory requirements is a plus.
