About Us:
The Media Branch of the Strategic Communications Division is dedicated to engaging with the community through various media channels, social media platforms, digital media, and events. Our Events Team plays a pivotal role in managing and supporting a diverse array of events, including face-to-face, virtual, and hybrid gatherings. We are committed to delivering impactful events that foster connections and advance the interests of our Agency.

About the Role:
We are seeking a motivated and organised APS5 Events Coordinator to join our dynamic Events Team. In this role, you will be responsible for supporting the event lead in coordinating a variety of events while contributing to the vision of the organisation. You will engage with both internal and external stakeholders, addressing moderately complex to complex inquiries and providing valuable advice.

Key Responsibilities:

  • Assist in the coordination of face-to-face, virtual, and hybrid events, ensuring all accessibility requirements are met from planning to post-event evaluation
  • Provide logistical management and expert advice to ensure the Agency's engagement activities are proactive and consistent nationwide
  • Prepare event and meeting briefs for high-level stakeholders, supporting Minister and senior leadership attendance at key events
  • Support multiple events simultaneously, often under tight deadlines, to ensure seamless execution
  • Collaborate and communicate with a range of internal and external stakeholders
  • Track and report on internal and external events activities to ensure transparency and accountability
  • Manage budgets and maintain accurate financial records for events
  • Oversee the management of shared inbox enquiries, allocating responses efficiently

Qualifications:

  • Previous experience in event coordination or administration
  • Strong organisational skills with the ability to manage multiple tasks and projects simultaneously
  • Excellent communication skills, both written and verbal, to interact effectively with stakeholders at all levels
  • Proficiency in budget management and financial tracking
  • A proactive approach to problem-solving and decision-making
