Receptionist / Property Management Support- Crows Nest, NSW, 2065

Key Purpose of the Role:

Are you a proactive, organised receptionist? Manage inbound office inquiries and provide essential administrative support to the Property Management Department. This is a fast-paced, busy office looking for a receptionist to maintain a smooth office operation.

General Responsibilities:

  • Ensure the front desk is always staffed during office hours, collaborating with the other Receptionist to cover breaks and lunch periods.
  • Disable night mode on the phone system and turn on the office lights by 8:30 am each day.
  • Check and respond to reception voicemail messages promptly.
  • Update and print the Property Management (PM) ‘Stock Lists’ every morning, ensuring they are available at the reception desk.
  • Secure key cabinets and filing cabinets by unlocking them at the start of the day and locking them at the close of business.
  • Greet clients and visitors warmly, efficiently, and professionally to create a positive first impression.
  • Direct incoming inquiries to the appropriate staff, providing details of visitors or callers and the nature of their requests.
  • Accurately take messages and forward them to the relevant staff members in a timely manner, keeping a message log.
  • Provide and receive keys as instructed by Sales or Property Management staff, ensuring all keys are signed in/out and logged into the KeyWare system.
  • Activate night mode on the phone system at the end of each business day.

Maintain Office Facilities & Displays:

  • Keep the office kitchen tidy, including managing the dishwasher, maintaining the fridge, and purchasing groceries as needed.
  • Ensure that hand towels, toilet paper, and hand soap are always available in the restrooms.
  • Maintain all office areas in a neat and orderly condition.
  • Regularly update and maintain office window displays, ensuring they accurately reflect current stock, results, staff, and company information.
  • Ensure the Rental and Sales display books in the reception area are always current and accurate.
  • Update and print the Sales and Rental Stock Lists, making sure up-to-date versions are always available at the reception.

Ideal Candidate:

Previous experience as a receptionist or in a customer-facing administrative role, ideally in a property management or real estate environment.
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
Ability to work effectively as part of a team, with a proactive approach to problem-solving and task management.
Strong attention to detail and accuracy, especially with database management and document handling.
Basic knowledge of office software, including MS Office, and experience with KeyWare or property management software is a plus.
