We are seeking an experienced Business Analyst (BA) with a strong background in subscription billing within a SaaS environment. This role will bridge the gap between business needs and technology solutions, focusing on optimsing billing systems, streamlining operations, and enhancing customer experiences.

Key Responsibilities:

Billing & Subscription Plan Management

  • Design and optimise subscription plans and pricing models, ensuring flexibility for tiered, usage-based, and hybrid billing structures.
  • Work closely with Finance and Product teams to define plan lifecycle management, including upgrades, downgrades, renewals, and cancellations.
  • Ensure proration logic and discount structures are accurately implemented to maintain billing accuracy.

Dunning & Revenue Recovery

  • Define and improve dunning workflows to reduce involuntary churn, including automated retries, payment reminders, and suspension/reactivation rules.
  • Collaborate with Finance and Customer Success teams to implement proactive revenue recovery strategies, including intelligent retry logic and customer outreach programs.
  • Analyse dunning performance metrics and suggest optimisations to improve recovery rates and customer retention.

Revenue Recognition & Compliance

  • Work with Finance to define revenue recognition rules in compliance with IFRS 15 accounting standards.
  • Ensure accurate revenue allocation for deferred revenue, subscription renewals, and prepaid plans.
  • Define financial reporting metrics and automate reconciliation processes to improve audit readiness.

Billing System Integration & Enhancements

  • Design and implement billing workflow automation to optimise invoicing, tax calculation, and payment collection.
  • Support integrations with third-party tax, fraud monitoring, and other systems to enhance financial operations.
  • Collaborate with engineering teams to ensure accurate API integrations between billing platforms (e.g. Stripe Billing) and internal systems.

Payment Processing & Customer Billing Experience

  • Ensure seamless payment gateway integration, supporting multiple payment methods (credit/debit cards, direct debit, wallets, and alternative payment methods).
  • Define refund, chargeback, and dispute resolution processes to align with industry best practices and minimise revenue loss.
  • Enhance the customer billing experience by defining self-service portal improvements, including invoice access, payment method management, and plan adjustments.

Business & Process Analysis:

  • Map and analyse current business processes related to subscription billing using tools like Visio.
  • Identify gaps, inefficiencies, and opportunities for process improvement.
  • Develop and document future-state process flows using BPMN or similar tools.

Requirements Gathering:

  • Collaborate with stakeholders to gather, analyse, and document detailed business and technical requirements.
  • Translate business needs into clear, actionable user stories, functional specifications, and acceptance criteria.
  • Define Definition of Done (DOD) and Definition of Ready (DOR) for stories to ensure clarity and quality in execution.

Project & Stakeholder Management:

  • Relentlessly follow up with stakeholders to ensure smooth project delivery.
  • Facilitate workshops, meetings, and presentations to align cross-functional teams.
  • Engage with key stakeholders, including finance, product, engineering, and customer success teams.
  • Document internal and external processes, ensuring stakeholders are aligned on requirements and deliverables.
  • Provide internal and external documentation for new features, ensuring clarity for all teams involved.

Data Analysis & Reporting:

  • Perform delivery analysis to identify trends, bottlenecks, and opportunities for improvement.
  • Develop KPIs and dashboards to track subscription metrics, billing accuracy, and revenue recognition.

System Implementation & Support:

  • Manage and prioritise the Team Backlog, ensuring the most impactful features are delivered.
  • Support the design, development, and implementation of billing systems and integrations.
  • Engage with User Acceptance Testing (UAT) and Quality Assurance activities, ensuring solutions meet business needs.
  • Provide post-implementation support and continuous improvement recommendations.
  • Developing business analysis frameworks and processes, translating business requirements into functional specifications

Risk & Compliance:

  • Identify risks related to billing operations, including fraud, revenue leakage, and compliance issues.
  • Ensure processes adhere to regulatory standards and internal controls.

Key Requirements:

Education & Certifications:

  • Bachelor's degree in Finance, Business, Accounting, Information Systems, or a related field.
  • Preferred: Certifications in Subscription Billing (Zuora, Chargebee, Recurly) or Revenue Recognition (ASC 606, IFRS 15).
  • Agile/Scrum certifications (e.g., Certified Scrum Product Owner, PMI-ACP) are a plus.

Experience:

  • 5+ years as a Business Analyst in a SaaS subscription billing environment.
  • Deep expertise in subscription pricing models, including flat-rate, usage-based, tiered, and hybrid billing structures.
  • Experience in dunning strategies and revenue recovery techniques to reduce churn and optimise payment retries.
  • Strong understanding of revenue recognition principles (ASC 606 / IFRS 15) and how they apply to SaaS contracts.
  • Proven track record working with SaaS billing platforms (e.g., Zuora, Chargebee, Stripe Billing, Recurly).
  • Experience in automating invoicing, tax calculations (GST, VAT, Sales Tax), and multi-currency transactions.
  • Knowledge of ERP integrations with billing platforms (e.g., NetSuite, SAP, Microsoft Dynamics).
  • Familiarity with fraud prevention mechanisms, chargeback management, and AML (Anti-Money Laundering) compliance.
  • Experience in designing and documenting financial workflows for subscriptions, refunds, cancellations, and renewals.
  • Knowledge of payment gateway integrations (e.g., Adyen, Stripe, PayPal, Worldpay) and payment methods like ACH, SEPA, and BPAY.

Technical Skills:

  • Proficient in SQL, Excel, and BI tools (Power BI, Tableau) for revenue and billing data analysis are a plus.
  • Experience with API-based billing system integrations (REST, SOAP, GraphQL).
  • Knowledge of data migration best practices for subscription-based platforms.
  • Hands-on experience with dunning workflow automation tools.

Soft Skills:

  • Strong stakeholder management to collaborate with Finance, Product, and Engineering teams.
  • Attention to detail to ensure billing accuracy and compliance.
  • Analytical mindset to track billing KPIs, revenue trends, and customer payment behaviours.
  • Ability to present financial insights to executive leadership.
