Due to increased rental volumes and a rapidly growing fleet, we are seeking someone to join the team.

About the Role

A full time, permanent position for an experienced Accounts Payable Assistant in our head office branch located in High Wycombe, Western Australia working Monday to Friday. We are seeking a motivated and detail-oriented Accounts Payable Administrative Assistant to join our team. This full-time role is perfect for someone who thrives in a collaborative environment and excels in both accounts payable and administrative tasks.

Purpose of the position

You will be reporting directly to Accounts Payable and indirectly to the CFO and will provide support to the Rentco head office for administration tasks as well as manage reception and assist the Accounts Department in accordance with the company’s policies and procedures. Assist Accounts department in all areas when needed.

  • Manage and coordinate all administration functions within the head office and ensure they are carried out to the best possible standard in accordance with directives from the CFO and company policies.
  • Ensure that given tasks are performed in a timely and efficient manner under directive from the CFO
  • Ensure that all customer, staff, and supplier contact is courteous and professional.
  • Data entry for vendor invoices.
  • Maintaining accurate vendor records and filing systems.
  • Reconciling vendor accounts against monthly statements.

Key Responsibilities

Include but are not limited to:

  • Receive and sort mail and deliveries.
  • Tidy and maintain the meeting room and kitchen including coffee machine.
  • Close up the office before you leave (Ensure lights and aircon are off, phones are on night mode, shutter is down, and doors locked)
  • General administrative and clerical support
  • Fleet Filing
  • Assist with the accurate and timely entering and coding of invoices across multiple entities
  • Assist with month end closing activities
  • Assist with Ad hoc Administration as required
  • Back up Accounts department as required
  • Retrieves system reports
  • Verifies items billed against items ordered and received and reconcile differences through follow-up with the vendor and/or other employees
  • Assist with weekly registration payments and system updates in a timely manner.
  • Maintain records by filing and/or removing records and reports
  • Process and reconcile a wide variety of accounting documents such as invoices, departmental billings, cash receipts, vendor statements and journal vouchers.
  • Receive and process tolls, fines and infringements and nominate correct asset users.

The successful candidate will possess the following:

  • A demonstrable experience in office administration, accounts and rental experience will be considered a strong advantage
  • Computer literate – training will be given on our internal software rental system
  • Strong attention to detail
  • Friendly, confident, and outgoing personality
  • Excellent organisation skills
  • Ability to work in a close-knit team and work unsupervised
  • A "Can do" attitude is essential
  • Ability to pass pre-employment and ongoing drug/alcohol screening
  • Ability to ensure that safety is always a priority
