Shaw Gidley are an innovative, market-leading insolvency firm with offices in Newcastle and Port Macquarie.

An exciting opportunity exists for an enthusiastic and driven Senior Administration Assistant at our Newcastle office, which is conveniently located right across the road from Charlestown Square.

We’re looking for someone who has excellent organisational and communication skills and thrives in juggling multiple priorities as the main point of call for all HR, finance, marketing, IT requirements and general office administration.

The ideal candidate will have previous experience in managing a small to medium office, ideally within the accounting or legal industry.

Shaw Gidley Newcastle is a boutique insolvency practice with 3 Partners and 14 Staff.

Work Hours:

This is a full time role 37.5 hours per week, preferably onsite.

We are flexible to discussing potential hybrid work arrangements to suit school hours.

Duties will include:

In this role you will provide operational support to the 3 Directors and have full autonomy and responsibility for the firm’s administrative function.

The role is diverse and includes but is not limited to:

  • Efficient and consistent running of practice operations
  • Assist with firm bookkeeping and financial reporting
  • Oversee all marketing/business development functions and social media accounts
  • General secretarial skills including general reception tasks
  • Maintain knowledge of government legislation and regulations
  • Assist in developing and maintaining business plans, performance measurements and staff reviews
  • Complete staff performance and development reviews
  • Assist with recruitment, induction and training of new and existing staff
  • Development and maintenance of practice systems, software and processes
  • Oversee maintenance of all office equipment
  • Continuously promote the businesses culture and values
  • Prepare and run office meetings and team building events
  • Client Services support where necessary

About you:

This position would suit a proactive, decisive, professional, flexible individual that has strong interpersonal skills and can work unsupervised to produce quality results.

3+ years previous office administrative experience within an accounting, legal or financial services business is required.

Strong communication and organisational skills.

Competence in decision making within areas of responsibility.
