As Executive Assistant to the Chief Operating Officer (COO), you will play a pivotal role in enhancing executive efficiency and supporting high-level operational goals. This role involves managing the COO’s complex schedule, ensuring smooth cross-departmental communication, and providing both administrative and strategic support. You will act as a key liaison between the COO and internal/external stakeholders, overseeing critical projects and helping drive initiatives aligned with the company’s strategic objectives.

This 10-month maternity leave contract offers a unique opportunity to gain firsthand exposure to executive decision-making processes within a fast-paced finance environment. You’ll collaborate closely with senior leaders and cross-functional teams, deepening your understanding of the business while directly contributing to its growth. This role provides a valuable platform for expanding your skill set and advancing your career within the finance industry.

Duties and Key Responsibilities

  • Manage the COO’s calendar, prioritising and coordinating meetings across global time zones.
  • Plan and oversee domestic and international travel logistics, ensuring efficiency and adherence to company policies.
  • Prepare, review, and edit reports, financial documents, presentations, and board materials.
  • Act as a key liaison between the COO, senior leadership, and internal and external stakeholders.
  • Coordinate high-level meetings, draft agendas, record minutes, and ensure timely follow-up on action items.
  • Manage budgets, track expenses, and assist with financial reporting for key operational initiatives.
  • Lead special projects and support cross-functional teams to drive strategic business outcomes.
  • Handle sensitive information with discretion, maintaining confidentiality in all executive-level communications.

Skills and Experience
The ideal candidate is a proactive and highly organised professional with experience supporting C-suite executives, particularly within the finance industry. You will have strong problem-solving skills, impeccable attention to detail, and the ability to thrive in a fast-paced, high-stakes environment. Your excellent communication skills and business acumen will allow you to effectively support the COO and contribute to broader company goals.

  • Proven experience as an Executive Assistant supporting C-suite executives, ideally within the finance or banking sector.
  • Strong calendar management, project coordination, and stakeholder engagement skills.
  • Excellent written and verbal communication abilities, with a high level of discretion and professionalism.
  • Experience managing complex international travel arrangements for executives.
  • Familiarity with financial reporting tools and operational metrics.
  • A background in supporting cross-functional projects or operational initiatives.
