The role of Administration Manager contributes to MLB's success by managing many critical aspects of claims assigned to MLB by our diverse clientele. These tasks are divided into many areas, which are detailed below but are not exhaustive. The role includes providing job administration, assistance to clients and their insured, and managing Building Managers on all jobs and repairs through to completion.
Any administration role relies heavily on time management and prioritising workload correctly, however, KPI’s are MLB’s foremost priority.
Job Description:
- Track, analyse and ensure compliance with MLB key performance indicators [KPI] for role requirements and assigned building team
- Direct and coordinate allocated building team for all claims assessments, manage quality controls, ensuring we meet contractual obligations, guaranteeing project schedule and customer satisfaction
- Administration of jobs in MLB software, ensuring job records are up to date, documents are maintained and categorised appropriately, statuses are correct, and continuing communication with all relevant parties is recorded
- Job and subcontractor invoicing is reviewed, monitored, and authorised in line with delegated authorities
- High level communication to update clients on job progression, maintaining contact with relevant parties and respond to any queries in a timely manner (inclusive of ensuring client portals are updated and reflect accurate progression throughout claims)
- Manage all escalations to resolve complaints/concerns promptly and notify appropriate management personnel within complaint KPI guidelines
- Examine job activity reports, as well as other performance data, to assess productivity and target attainment, as well as to identify cost-reduction
- Monitor external businesses to source local contractors to assist with MLB repair volume and improvement opportunities
- Assist with training, development and upskilling administration support roles and ensuring delegated supports are utilised accurately and workload is monitored
